Configure workflow for external messages via Profit

If a message is imported in Profit, it automatically goes to a workflow. A dossier item type for this workflow is provided by Profit. You need to add a workflow to this dossier item type (a standard workflow also comes with Profit).

You cannot add dossier item types for approval messages. For this you need to use the supplied Approval message (Profit) dossier item type.

You can submit various kinds of messages to the relevant agencies using Profit, such as VAT and ICP declarations. After you have added the workflow, you link it to the relevant messages. You decide for yourself whether you want to use the same workflow for all message types or one workflow per type, for instance.

Example:

Profit is used to channel declarations from external packages to the tax authority and the Chamber of Commerce. You decide to use one workflow for each agency:

  • Tax authority workflow: VAT declaration, ICP declaration and ‘Loonheffing’ declaration.
  • Ch. of comm. workflow: Ch. of Comm. documents.

To configure a workflow in a dossier item type:

  1. Go to: CRM / Dossier / Configuration / Dossier item type.
  2. Open the properties of dossier item type Approval message (Profit).

    This is a dossier item type which comes with Profit and for which only the Settings, Workflows and Response templates tabs are available.

  3. Go to the tab: Settings.

    Select the Mark client record item as confidential check box if you want to mark dossier items on the basis of this dossier item type as confidential .

    The other fields in this tab cannot be changed.

  4. Go to the tab: Workflows.
  5. Click on: New.
  6. Select the workflow on which you want to base the workflow. Profit comes with one default workflow.

    The workflow must contain the actionsReject message and Approve message. Message statuses are changed in theReject message action. External applications can determine statuses and undertake actions if necessary. In the action Approve message, the message is prepared for sending via the communication service.

  7. Change the workflow.
  8. Publish the workflow. For some tasks, you still need to select users (the user that needs to complete the task).

    The following Profit message appears: The workflow has been published. If this message does not appear, you need to check whether there is an error message. Solve the issue first and then try to publish the workflow again.
