Record a dossier item and send an e-mail message

You send an e-mail message from Profit to a contact person. You can also send the same message to a number of contact persons at the same time. The sent message is registered at the contact person level, meaning you can easily find it later on.

The text of the e-mail can be based on a document layout to create a personalised e-mail message. However, it is also possible to enter a message text directly when recording the dossier item.

In addition, you can send along an attachment with the e-mail message. You can use a merge document for this purpose too, creating a personalised attachment. You can generate this attachment as a PDF file using the Generate read-only document option, so that the user can open the attachment, but cannot change it. Instead of a merge document, you can also use an external file as an attachment.

Note: 

Profit uses a built-in e-mail program, instead of your own (locally installed) e-mail program. You can view sent e-mail messages from the dossier, not in the e-mail program. The e-mail program settings (such as an electronic signature) are not used.

To check e-mail addresses:

  1. Go to: CRM / Organisation/person / Organisation/person.
  2. Open the properties of the organisation..

    To be able to send an e-mail message, the organisation and contact must have an e-mail address.

  3. Check whether the work e-mail address has been entered.

  4. Go to the tab: Contacts.
  5. Open the properties of the contact.
  6. Check if the Work e-mail field contains a value.

  7. Click on: OK.

To e-mail outgoing mail:

  1. Select Aanneembedrijf Van Straaten B.V.- Marnix Brand.
  2. Click on the action: Dossier item.
  3. In Dossier item type, select Outgoing mail.
  4. Select the contact
  5. Click on: Next.
  6. Enter the subject.
  7. Click on: Next
  8. Select E-mail document and record in file in Target.

    If this option is not available, you still have to specify the e-mail server.

  9. Click on: Next
  10. Select a value for Document in text.
  11. Select a value for Sender.

    In this field, if you want to select your own name by default, use the field settings to specify this.

  12. Click on: Next.
  13. Check the data.
  14. Click on: One example to check the e-mail message. In this case, the e-mail is not sent to the addressee (the contact or the organisation), but to the sender instead.

    Profit notifies you that the dossier item must be saved.

  15. Click on: Yes.

    Profit now sends an e-mail to the address in the E-mail address sender field. You will receive a notification about this.

  16. Click on: Finish.
