View and change a contract in Financial

You can view and change a contract. For every change Profit creates an entry line which you can view in the history. In the Contracts view you have a complete overview of all contracts, notice periods and durations.

You can authorise the view of contracts using the data filter Financial - Contracts. Using a data filter you ensure that users only have access to the contracts they are allowed to view or change. For fixed assets, on the Insurances tab all contracts can however be seen, irrespective of the filter authorisation. But only contracts of the Insurance type.

View and change a contract financially:

  1. Go to: Financial / Contract management / Contract.

    If a contract has a End date and Notice period, Profit calculates the Cancellation date. This gives you an insight into when you need to cancel, and you can be on time when you want to cancel.

    With an alert on Cancellation date, Profit alerts automatically that the contract is about to expire or will be extended tacitly. This enables you to cancel the contract on time.

    In the view you see the status of the contract, which is determined as follows:

    • Active: Start date of the contract is lower than or equal to the system date, End date is greater than or equal to the system date, Terminated on is empty.
    • Active and terminated: Start date of the contract is lower than or equal to the system date, End date is greater than or equal to the system date, Terminated on is filled.
    • In consideration: the In consideration check box is selected for the contract.
    • Future: Start date is greater than the system date, Terminated on is empty.
    • Future and terminated: Start date is greater than the system date, Terminated on had been entered.
    • Terminated: End date is lower than the system date, Terminated on is empty.
  2. Open the properties of the contract.
  3. Go to the tab: General.
  4. View or change the data. You cannot change the contract number for this contract later on.
  5. Go to the tab: Financial.

    On this tab you see the financial data including the Automatically generate obligations for an extension stting. This setting is copied from the moment that you have generated obligations.

    Using the Payment condition setting, you have the option to enter a specific payment condition for a contract. This allows you to deviate from the payment condition that applies to the creditor.

  6. Go to the tab: History.

    For a new contract, a change or an extension to a contract, Profit adds an entry line to the contract history. This gives you an insight into the changes to the contract, for example extensions.

    There are three types of entry lines: new, change and extension. The extension type applies if the contract is extended from the workflow.

    In this contract you will see type of entry line, New.

  7. Go to the tab: Purchase invoice.

    This tab shows the purchase invoices that have been matched to the obligation(s) of this contract using a financial purchase entry.

    If you do not see this tab, change the authorisation for this tab.

  8. Go to the tab: Purchase order.

    This tab shows the purchase orders that have been created using Profit Order management and that are linked to this contract.

  9. Go to the tab: Purchase quotations.

    This tab shows the purchase quotations that have been created using Profit Order management and that are linked to this contract.

  10. Click on: OK.

To view contract analyses:

You can view contracts using an analysis.

  1. Go to: Financial / Output / Analysis.
  2. Open the analysis: Contract analysis (Profit).
  3. Set the filter.
  4. Click on: Finish.

    Among other things, in the analysis you see the contract value per contract type, the total amount per status for each responsible person, and the amount and number of contracts for each purchase contact.

To view the insurances per asset:

  1. Go to: Financial / Fixed assets / Asset.
  2. Open the asset properties.
  3. Open the properties of Machine 100.
  4. Go to the tab: Insurances.

    Profit displays the linked insurance(s). Insurances are contracts with the value Insurance in the Type contract field. On this tab you can see all the linked insurance contracts, irrespective of the data filter authorisation.

    You can also add insurances on this tab.
