E-mail an e-invoice (sales)

You can issue an invoice as an e-invoice. That means that the sales contact/debtor receives two files by e-mail: a PDF file and a UBL file.

The sales contact/debtor can directly import an e-sales invoice as a purchase invoice into their financial administration and process it. This saves the sales contacts a lot of time, because they do not have to copy the invoice data manually. The sales contact is not required to accept an e-invoice. You must first consult them and configure it.

You can send e-invoices in bulk using the Output wizard or issue one e-invoice using the E-mail action.

After performing the E-mail action, Profit only sets the status of the issued invoice to Completely processed if it was issued according to the issue method for the sales contact. To this end, Profit first looks at the issue method for invoices on the Digital tab. If no issue method has been set there, Profit looks at the issue method on the General tab. If you selected the Output action, the status of the invoices is always set to Completely processed.

Note: 

Profit will send the e-mail to the Work e-mail address that has been recorded for the contact for the invoice. If the contact does not have a Work e-mail address or no contact at all is selected, then the Work e-mail address of the organisation/person in question is used. If a Work e-mail address is not present for the organisation/person either, then Profit reports that no valid e-mail address can be found.

To automatically send e-invoices in bulk:

    Profit mails the invoices as e-invoices to the sales contacts for which e-invoices have been set as the preferred issue method. Or to all sales contacts if you are using a deviating issue method.

To e-mail one e-sales invoice manually (PDF and UBL file):

  1. Go to:
    • Order Management / Sales process / Invoice
    • Subscriptions / Invoicing / Pro forma invoices
    • Projects / Invoicing / Invoices
    • Projects / Invoicing / Invoice instalment
    • CRM / Course management / Invoicing / Invoices
  2. Select the line you want to e-mail.

    Profit only sends an e-invoice if the line's sales contact has 'PDF + E-invoice' set as the preferred issue method. Otherwise the contact only receives a PDF file.

  3. Click on the action: E-mail.

    You see a preview of the e-mail message that Profit is going to send. The e-mail message content is determined by the message template and the sales contact profile.

    You send the invoice to the e-mail address of the contact person set in the properties of the sales contact/debtor. The contact person can be set on the General tab, or by supply type. The specified e-mail address must have the required format.

    You see two attachments in Attachment: the selected sales invoice as a PDF file and as a UBL file (e-invoice). With all other issue methods, you use the same action to e-mail only one attachment, the PDF file.

  4. Click on: OK.

    You see a message showing the number of invoices sent by e-mail, in this case one invoice.

  5. Click on: OK.
