For In Service processing, you let the AFAS Service Agency carry out specific salary administration-related tasks. For example, you can use the Service Agency for printing the pay slips and making payments (via Equens).

Description

In case of In Service processing you perform your own salary administration, while certain tasks are outsourced to the AFAS Service agency. For each employer you identify the tasks to be carried out by the AFAS Service agency.

You perform your own salary administration, including the checking and approval of the periods. You then send out a service order to the AFAS Service agency. In other words you keep control in your own hands, and have access to all Profit controls required to approve the salary calculation, before you send your data to the Service agency.

AFAS Service agency executes your order in an authorised and secure work environment, while continuously monitoring the status of this environment and the progress of orders. AFAS Service agency completes processing of your order within two working days unless you selected a different processing date. If the AFAS Service agency is unable to process the order on time, it will inform you accordingly on the second working day (in case of a different processing date it is that date). As a customer you can access the status of your order using the Salary processing cockpit.

The two-way traffic between you as the In Service customer and the AFAS Service agency is channelled via the AFAS Communication Service. This exchange is channelled entirely via the Salary processing cockpit. As a customer, this provides you with greater insight into the overall process because the AFAS Service agency provides information to you about the processing status of tasks.

AFAS and certifications

As a software vendor, AFAS has made a deliberate choice for certain certifications that all its customers can take advantage of, that go beyond a single process and that add value to its organisation.
AFAS considers it to be a disadvantage that the ISAE3402 statement safeguards only one process for a very select group of customers, and only the technical security limited to this process.

The AFAS quality management system has been ISO 9001:2008 certified since 2003. The process management, and thus also the service processing, is part of this.
Since September 2013, AFAS is also ISO 27001:2005 certified, a certification that goes beyond the management objectives and measures included in the former ISAE3402.

AFAS is a software vendor and not a service provider.

Service provider means:

  • Customer has no influence on the payroll configuration.
  • It is the service provider’s responsibility to ensure a correct wage calculation.

Salary software vendor means:

  • The payroll configuration resides on the customer’s system or in the customer’s cloud environment, meaning:
    • The customer has the flexibility to adjust the payroll configuration to his own requirements

      and

    • The customer also has the flexibility to adjust the pay slip to his own requirements.
  • It is the customer’s responsibility to ensure a correct wage calculation.

In-service salary processing at AFAS means:

  • AFAS sends the payment files on to Equens.
  • AFAS sends the pay slips and annual statements by e-mail. (On request by the customer, AFAS can also send them by regular mail.)
  • The payroll configuration resides on the customer’s system or in the customer’s cloud environment, meaning:
    • The customer has the flexibility to adjust the payroll configuration to his own requirements

      and

    • The customer also has the flexibility to adjust the pay slip to his own requirements.
  • It is the customer’s responsibility to ensure a correct wage calculation.

The first two issues are fully automated. An automated monitoring occurs, to detect and resolve any problems. The service processing has been configured for SAS70/ISAE3402 in 2008 and has not been changed since.

Preparation

Procedure

  • Send a service order

    You maintain control over the processing and approval of the salary periods. Only once you have processed, verified and approved a period do you send it to the AFAS Service agency. The AFAS Service agency then looks after those things that you have configured for the employer, such as sending out the pay slips.

  • View the status of the In Service processing

    You can monitor the progress of the processing by the AFAS Service agency using the Salary processing cockpit.

  • View the status of a TNT postal item

    You can view the status of the postal item on TNT Post’s website. This way you can verify whether the pay slips were delayed by TNT Post and are therefore still underway.
