Maintain payments

In some cases you want to block or delete a payment to an employee. You can maintain the payments of an approved period using the Payment cockpit.

Note:

This only works if you create a separate payment file for each employer and do not generate the payment file automatically following the approval.

If you work with In Service and the service agency makes the payments, you cannot use this functionality.

You have the following options:

  • Change to bank payment

    You can convert a cash payment to a bank payment, for example if it turns out that the salary account or the payment of an individual wage component is not linked to a bank account.

  • Change to cash payment

    You can convert a bank payment to a cash payment, for example if you want to manually pay the salary to the employee at a later time.

    Note:

    Profit does not include the cash payment in the payment file of the next period. You can use Profit Financieel to make a cash payment to an employee.

  • Delete

    You can delete a payment if the payment to the employee should not occur. For example, you delete a payment if it turns out that the employee never entered employment and has been incorrectly processed in the salary processing plan.

During the salary processing, negative amounts are always converted to cash payments. After all, negative bank payments are not possible. If you do not want to make a specific bank payment, you can convert it to a cash payment or delete it altogether. You can also convert negative cash payments to bank payments, so the amounts are balanced.

Note:

You can no longer delete a payment if it has already been included in a payment file.

To view and change payments:

  1. Go to: HR / Payroll / Payment cockpit.
  2. Open the properties of the payment line.
  3. Open the period line.

    Profit displays the payments of the selected employer and period line. The following views are available:

    • Payments in period
    • Negative cash payments

    The two views have the same format. The Cash column tells you whether this is a cash payment (check box selected) or a bank payment.

  4. Click on the action: Change to bank payment.

    This converts a cash payment to a bank payment. If applicable, you can first select multiple lines and convert all these lines at once.

    Converting cash to bank payments is only possible if the total balance of the bank payments to the relevant employee does not become negative.

  5. Click on the action: Change to cash payment.

    This converts a bank payment to a cash payment. That means the payment will not be included in the payment file.

  6. You can change the properties of a payment by double-clicking on the line you want to change. For bank payments you can then change the bank or giro number and the other payment data. For cash payments the bank and giro account related fields are not available.
  7. You delete the selected payment(s) using the Delete action.

    Note:

    You cannot undo the deletion of payments. If you want to make a deleted payment after all, you have to do this manually.
