Teams

Use the Teams functionality as an easy means to create project teams and to record team members for projects.

Advantages:

  • You can link project teams to one or more projects.
  • For the actual costing (entering hours) you can specify that only team members of the project team can enter data on the project.
  • You can view information about teams and team members in InSite, the AFAS intranet functionality.
  • In InSite, you can use a workflow to allocate workflow tasks to team members, based on their respective roles in the team.
  • Team members, both employees (InSite/Profit) and contacts (OutSite), get a better insight in the projects they are involved in, who is responsible for which component (the team roles) and the progress.

Profit Projecten distinguishes two types of teams:

  • Generic team: a team that you want to leave unchanged and use for multiple projects.
  • Specific team: a team that is used for one specific project.

Profit differentiates these teams using a setting at the team level, Specific to one project.

You are not required to use teams in a project.

By linking a team to a project, you record who are involved in the project. A team can contain both employees and contact persons. This means that in a project you can assign roles not only to your employees, but also to employees who work for customers or third parties.

You can integrate teams with both the cost estimate and the actual costing. For a new cost estimate you can use the employees in the cost estimate to create a specific team. For actual costing you can specify that only members of the team that is linked to the project can enter data on the project.

Procedure

  • Add a generic team

    Add a generic team if you want to be able to link this team to multiple projects.

  • Link a generic team to a project

    When you add a new project, you can link a generic team directly to a project. You can also afterwards add a generic team to an existing project by using the Team view or the properties of a project.

  • Add a specific team from a project and link it to a project

    If you want to link a specific team to one project only, use the project properties to add this team.

  • Use teams in a cost estimate

    If you have configured it in the entry layout of the cost estimate, you can create a team from your employees in the cost estimate. The team that you add from the cost estimate is always a specific team, never a generic one.

  • Use teams in the actual costing

    You can set per project that only project team members are allowed to enter the actual costing on that project. This prevents non-team members from posting hours to projects.

  • View and change a team

    You can study and change a specific or a generic team by using the team view and the properties of a project.

  • Copy team members

    You can copy the team members from an existing team or existing cost estimate. Profit then adds the corresponding persons to the current team.

  • Replace a team member

    You can replace a team member in a team.

  • Import team members

    You can import team members.

  • Teams in InSite

    You can view information about teams and team members in InSite, the AFAS intranet functionality.

  • Teams in OutSite

    With AFAS OutSite, the AFAS portal and website functionality, your contacts are able to see their own project and team data in an overview. This is how you offer your contacts Project Self Service (PSS).
