Add a project

A project is the core of Profit Projecten. You link all project-related factors, such as hours worked, sales prices, work performed, debtors etc., to a project. In the actual costing, you enter the actual costs, including the hours spent.

In a project you combine information on costs, hours spent, revenues, etc. A good project administration provides insight in the progress of activities and the financial situation.

To add a project:

  1. Go to:
    • Projects / Project / Project.
    • Projects / Project / Project group, open the properties of a project group, the Projects tab.
    • CRM /Organisation/person / Sales contact, open the properties of the sales contact, the Projects tab.
  2. Click on: New.
  3. Select a project profile if you want to base this project on a project profile.

    If the project profile contains additional data including phases, a cost estimate and/or invoice instalments, view or change this project data after completing the wizard.

  4. Click on: Next.
  5. Complete the fields.
  6. Select the main project if the project you are adding is a sub-project that you want to link to the main project.
  7. Select the project administration in Administration.

    Profit copies the administration of the selected project group to this project, if an administration has been entered for the project group. In the project, it is allowed to deviate from the project group administration.

    You can change the administration of a project, even if actual costing lines have already been entered.

    You can set a preferred value for the Administration field of projects using project profiles or field settings, so Profit automatically suggests this preferred value when you create a new project.

    Note:

    If you use instalment invoicing in a project and you change the sales contact while instalments not yet invoiced are present, the following message appears: There are uninvoiced instalments for the project. Do you want to change the sales contact in these instalments? Click on ‘Yes’ if you want to change the debtor. This does not have any consequences for the currency of the agreed price and the instalments.

  8. Click on: Next
  9. Select a team if you want to link a team to this project.

    You can only select an existing generic team here. If you want a specific team for one project, you add it from the properties of the project.

  10. Select the Only allow team members to enter actual costing check box if you want only team members to be allowed to post entries to this project. You can only select this check box if you have selected a team in Team.
  11. Profit copies the data in Internal project manager and External project manager from the data of the team if you have entered it there.

    If you do not link a team, you can enter the Internal project manager and External project manager.

  12. Click on: Next.
  13. If required, enter a value for Planned completion date and Actual completion date.

    You cannot enter any hours/costs for the project on a date before the Start date or after the Actual completion date.

  14. Click on: Next.
  15. If required, enter a value for the fields for the invoice. For further information, please refer to the description of the fields in Project settings for invoicing.
  16. Select the Instalment invoices check box if you want to use instalment invoicing for this project. You can only select this check box if the Charge check box is also selected.

    If you base this project on a project profile that is linked to invoice instalments, then if the Profit field is selected Instalment invoices will copy the instalment invoices. Profit uses Agreed price when completing the wizard to determine the amount in the invoice instalment lines:

    • If you enter the agreed price, Profit copies the invoice instalments including the percentages and recalculated amounts (based on the agreed price) to the invoice instalment lines.
    • If you do not enter the agreed price, then Profit copies the invoice instalments without any amounts. In this case the invoice instalments contain only the descriptions of the instalments.
  17. Click on: Next.
  18. Select an image, if you have an image for the project.
  19. Click on: Finish.
