The project master data forms the core of the project administration.

Description

The core of the project administration consists of the master data of projects. You can link projects to clients (organisations / persons), making it possible to charge on entered costs on via the project invoicing. You can also add projects without this link (internal projects); you use these projects to enter non-billable hours so that you can still balance your time registration.

You can also compare the various stages (cost estimate, actual costing and invoicing) from your projects. You can also keep an electronic dossier for each project. You can record memos, meetings and documents in these project dossiers.

In addition to this, you can view Projects in Insite. It goes without saying that the same authorisation applies so that you can control which users get access to which aspects of the system.

For Projects, several default overviews are available in Profit. In Profit Projects, you can also use different methods to create overviews of information that you recorded when entering the cost estimate, actual costing and invoicing.

Note: 

You can record additional information in your projects using custom fields that you can add on custom tabs.

Charging on costs in a diagram:

In the below diagram, you see when Profit creates an actual costing line that you have entered for a project and/or work type, charges it and invoices it to the client. You can set Charge per project and per work type. You can also use the Charge field on cost estimate lines.

The 'Changeable Y' text in the diagram means that when you enter a project for which you have set Charge, you can still deselect the Charge check box on the entry line. This also applies the other way round. If the text is 'Changeable N', you cannot deviate from the setting in the project on the entry line.

Procedure

  • Add a project

    A project is the core of Profit Projecten. You link all project-related factors, such as hours worked, sales prices, work performed, debtors etc., to a project. In the actual costing, you enter the actual costs, including the hours spent.

  • Add a project using a scored forecast

    It is easy to convert a scored forecast from Profit CRM to a new project. In this way, you can copy the master data from the forecast directly to the project. You can also copy agreements reached, such as the quotation and cost estimate, as well as the dossier, to the project. This saves time and prevents errors.

  • Project properties
  • View the project master card

    You can print a default project master card for one project or for multiple projects at the same time.

  • Block a sales contact linked to a project (temporarily)

    There are two ways to block a sales contact that is linked to a project. This has consequences for the actions you can perform on the project.

  • Project phase

    You can divide a project into phases. A phase indicates in which stage a project is. You can then apply this phasing in the cost estimate and actual costing, which will give you insight in the budgeted costs and the actual costs per project phase.

  • Change a project number

    You have the option to change the project number (ID). If you perform this action for a project, all related files are also updated.

  • Document in project dossier

    You have the option to save documents in the project dossier.

  • Import projects

    You can import projects.

  • Projects in InSite

    Project employees can use Project Self Service (PSS) in InSite to access data of projects, teams and actual costing (hours). InSite is the Intranet of Profit and is fully integrated with Profit. Using PSS in InSite/OutSite, employees and customers always and everywhere have the current project data available.
