Add a project using a scored forecast

It is easy to convert a scored forecast from Profit CRM to a new project. In this way, you can copy the master data from the forecast directly to the project. You can also copy agreements reached, such as the quotation and cost estimate, as well as the dossier, to the project. This saves time and prevents errors.

You must authorise the action first.

Note:

Profit only copies a dossier item in the dossier of the forecast over to the project if, in the Destination Extra tab in the dossier item type properties, the Project destination is set to optional.

To add a project using a scored forecast:

  1. Go to: CRM / Sales automation / Forecast.
  2. Open the properties of the forecast..
  3. Go to the tab: Result.
  4. Check for the result Closed and scored in Forecast result.

    You can only create a project using a forecast if the result of the forecast is Closed and scored. If the result changes later, then the new project remains linked.

  5. Enter the reason, the date and the order amount.

    Profit later enters the project in Project once you have created a project based on the forecast.

  6. Go to: Actions (F8)Create project.

    The wizard to create a new project starts up. You can only create a project if the forecast is Closed and scored and if a project has not yet been linked to the forecast. If this is not the case, then Profit does not give a message.

  7. Select a project profile if you want to base this project on a project profile.

    In that case, Profit copies the field settings and the preferred values of the selected project profile to this project.

  8. Click on: Next.

    This window shows cost estimate lines if the forecast has cost estimate lines without a linked project. Cost estimates that are already linked to projects and cost estimates with status Expired are not displayed.

    Note:

    If you want to include a cost estimate from the forecast in a project, the Quotation number same as project number and phaseproject setting must be deselected.

  9. Select the check boxes for the cost estimate lines you want to include in the project.
  10. Click on: Next.

    This window shows a logistic sales quotation if the forecast contains a sales quotation. Sales quotations that are already linked to a project and sales quotations with the Expired status are not shown. The sales quotation must also have the same sales contact as the forecast.

  11. Click on the quotation if you want to include it in the project.
  12. Click on: Next.

    The following windows are the same as the new wizard for projects.

  13. Complete any empty fields as desired.
  14. Complete the wizard.

If dossier items have been copied over to the project, then you can view and change them in the project dossier. If you change a dossier item here, then it is also changed in the forecast. Therefore, it is still just one dossier item.
