Add a quotation

You add a quotation in order to offer items to a sales contact.

The addition of a quotation begins with the selection of the sales contact. Next, you can enter the quotation lines.

To add a quotation:

  1. Go to: Order Management / Sales process / Sales quotation.
  2. Click on: New.
  3. If there are multiple entry layouts for the quotation, select the one you want to use.

    You see the entry layout for the sales quotation.

  4. Enter the Quotation number if you are not using auto numbering.
  5. Select the Sales contact.

    The sales contact can have the Prospect or Debtor status, but it should not be blocked.

    Profit copies data from the properties of the selected sales contact. This data includes the VAT duty, Delivery address, Payment condition, Currency and Collect.

  6. If required, complete the other fields in the entry layout header.
  7. Add the item lines that you want to quote.

    During the addition of a quotation, you can also copy order lines from all kinds of orders. For example, you can copy order lines from a basic order, order, packing slip or another quotation to this new quotation. This works in the same way as for sales orders.

  8. To view any quotation lines for the item in other quotations:
    1. Select the line and click: Item properties.
    2. Go to the tab: Sales quotation lines. You must first authorise this tab.
    3. Close the properties of the item.
  9. View the quotation totals in the entry layout footer.
  10. Click on: Finish.
  11. Depending on the settings in the entry layout, you may be asked further questions, such as whether you want to print or finalise the quotation. Select an answer for each question.
