Add an obligation
You can include reservations and obligations for a contract. An obligation is taken from the reservation. You can have an obligation generated automatically at the moment you add a contract, or record it manually using the procedure below.
You can also record an obligation directly without first creating a reservation.
You can import reservations and obligations via Financial / Management / Import assets and contract / Reservation and Financial / Management / Import assets and contract / Obligation or using the UpdateConnector (FiReservation and FiCommitment).
To add an obligation:
- Go to:
- Financial / Contract management / Contract
- Financial / Contract management / Obligation, Click on: New. However, in this way Profit will not enter the associated contract data.
- Open the properties of the contract.
- Go to the tab:Obligation.
- Click on the action:Maintain.
- Enter the ledger account, the financial year and the period for the obligation.
Profit enters the ledger account if a preferred ledger account has been set for the purchase contact/creditor.
- Select the reservation against which you want to write off the obligation, if you have made a reservation.
The Description, Internal reference, Year, Period number, Creditor fields and the allocation axes are completed automatically.
In Internal reference, enter the contract number, if this has not been entered automatically. You use this field to match the obligation when entering the invoice.
- Enter the creditor, the amount and/or the quantity for the obligation.
- Enter the allocation axis to which the obligation applies if you are allocating. The field has the name of the axis.
- Click on: Finish.
If the amount of the obligation is less than the reservation, you are asked whether you want to write off the whole reservation.
