Contract dossier in Financial
You can maintain a dossier per contract. This electronic dossier consists of dossier items such as documents and notes.
To set it up, for the Type of dossier item you want to record as Destination you must select the destination Purchase contact + contract. Profit then adds the document to the dossier of the contract.
Contracts and dossiers are recorded at the administration level. If you want to submit a dossier item for a contract, you first have to open the right administration to submit the dossier item.
You can also create and view dossier items for contracts in InSite. You can import dossier items for contracts using CRM / Management / Import CRM / New file or the UpdateConnector KnSubject.
To record a dossier item for a contract in Financial:
- Go to: Financial / Contract management / Contract.
- Open the properties of the contract.
- Go to the tab: Dossier.
- Click on: New.
- Copy the following data:
- Go to Dossier item type and select the dossier item type that you want to record. For example Outgoing mail.
- Select the Save in organisation/person client record check box if you want Profit to actually include the new dossier item in the dossier of the organisation/person. Now the fields below become changeable.
- Enter a value in Type.
- First consider which (type of) organisation or person you actually want to record the dossier item for. In this case, for Type, select Purchase contact.
- In Destination search and select the eventual person or organisation.
- Go to With regard to and select the subject of the dossier item.
You can only select from the options that are associated with this dossier item type. In addition to this, the destination type that you selected in Select client record / Type can no longer be selected here. Using this field you can filter in the dossier tabs/view.
- Click on: Next.
The subsequent Destination Extra window (optional) only appears for destinations that are not of the Organisation or Person types, nor sub-types of these types. For example Projects.
- Go to Project and select the project.
- Click on: Next.
- Go to Subject and enter a clear description of the dossier item so that the dossier item is easy to find in a view.
- Enter the content of the note in Comment.
- Click on: Next.
- Select E-mail document and record in file in Target.
- Click on: Next.
- Select the document. Which documents are available depends on the contact type: you see different documents for an employee than for an organisation/person.
- Click on: Finish.
You have now recorded a dossier item in the contract dossier and for the purchase contact.
