Digital delivery to 'Arbo Unie'

Before you can deliver digital files to the 'Arbo Unie', you need to register with the 'Arbo Unie'. The 'Arbo Unie' will send you a username, password and key. Add these to the communication profile.

Switch from another software package

If you switch to Profit from another software package, you first have to create a new initial file and send it to the 'Arbo Unie'. This is a one-time step. You do not have to send the initial file. The creation of the initial file marks the end of the data originating in your old package.

For all subsequent deliveries you use the procedure described below.

Absence start date before delivery start date

If you start with the delivery after you have already recorded absence entries in Profit, you end the existing absence entries and add them again with a start date equal to the start date of the data delivery to the 'Arbo Unie'.

Example:

An employee has an absence entry with 1 December of last year as the start date. As of 1 January of the current year., you want to start with the delivery to the 'Arbo Unie'.

In this case, you end the absence entry on 31 December of last year and add a new absence entry with 1 January of the current year as the start date.

For all subsequent deliveries you use the procedure described below.

Send message files

To send messages to 'Arbo Unie' you have to install the 'AUCSmeld' program. Using this program you can securely deliver messages to one of the AUCS servers of 'Arbo Unie', without interference by third parties. You always know whether your files have arrived at 'Arbo Unie' or not. Only traffic from and to 'Arbo Unie' can take place and only a registered party can initiate it.

For AFAS Online customers, AFAS Online provides the link for digital deliveries to 'Arbo Unie'. In that case, you do not have to install the AUCSmeld program yourself.

To send the files, AUCSmeld establishes a connection with one of the AUCS servers. This requires authorisation. This authorisation is processed entirely by AUCSmeld based on data which is listed on a personal certificate issued by 'Arbo Unie'. The authorisation identifies the submitting party to AUCS and authorises the party for submitting one or more specific file types.

AUCSmeld has been developed by 'Arbo Unie'. For information on the costs for using AUCSmeld please contact 'Arbo Unie'.

Communication from 'Arbo Unie' to your organisation is done using e-mail. For every submitted file, AUCS can send a processing report to one or two e-mail addresses.

Extensive information on the connection with 'Arbo Unie' and the procedure for the configuration of AUCSmeld, can be found in the manual you receive when you register your organisation with 'Arbo Unie' and are ready to install AUCSmeld. You can also request this information from 'Arbo Unie'.

Message types

Various types of messages can be delivered digitally to 'Arbo Unie'. The HR / Presence and absence / Arbo digital function is used for this purpose.

The various messages for sickness and recovery notifications and corrections are generated automatically by Profit using the registrations within Profit. When sending the messages, Profit checks if a file created previously is still present in the specified file location. If that is the case, that file has to be sent first.

Profit automatically generates the following message types:

  • Ziek

    If necessary, this message type also updates the name and address data of the employee.

  • Mutatie and Hersteld

    For the partial and full recovery messages the 'Arbo Unie' uses the 'Mutatie' and 'Hersteld' message type.

  • Verwijder verzuim

    Using this message type incorrect messages (of the Ziek, Hersteld and Mutatie message types) are deleted at the 'Arbo Unie'. If the incorrect messages have not been sent yet, you can simply delete the lines created for them from 'Arbo Digitaal' without reporting this to 'Arbo Unie'.

  • Employee data

    'Arbo Unie' maintains its own employee file. Changed data for existing employees and the data for new employees are automatically communicated to 'Arbo Unie' from 'Arbo Digital'. If you link an employee to 'Arbo Unie' when you report the start of the employment in Profit and you have selected the Arbo digital check box, this employee is automatically registered with the selected 'Arbo Unie' regional office.

    Even if an event results in the end date being entered at the 'Arbo Unie', for example when the employee leaves employment, this message type is used automatically.

    Address and job changes are included in the delivery when a new absence entry for the relevant employee is sent to the 'Arbo Unie'. An address change does by itself not result in a message.

  • Improve employee data

    If you change an employee's data and the Arbo digital check box is selected, Profit automatically sends the employer data to the 'Arbo Unie' regional office via 'Arbo Digitaal'.

The digital delivery to 'Arbo Unie'

Making a digital delivery to 'Arbo Unie' consists of three steps:

  1. Process sickness and recovery entries
  2. Create a digital file
  3. Send a digital file

Step 1. Process sickness and recovery entries

You process the sickness and recovery entries in Profit from the sickness registration. When you have changed or deleted sickness entries or partial recovery entries, messages are also generated. The various messages for sickness and recovery entries and corrections are generated automatically by Profit based on these registrations.

Step 2. Create a digital file

  1. Go to:HR / Presence and absence / Arbo digital.
  2. Click on the action:Create Arbo message.

    This action writes the lines that have been prepared in 'Arbo Digital' to a file of the type FormHost at the specified file location (for example, the spool directory). Depending on the settings, these files must have a specific name or extension.

Step 3. Send a digital file

You send the messages through the communication service.

You also receive feedback from the 'Arbo Unie' in the communication service.

    Schedule a task in the Profit Task scheduler.
