Add a leave balance correction

A leave balance correction is a correction of the leave balance of a leave type in a certain leave period. You can also use a leave balance correction if an employee buys leave or has it paid out (integration with Profit Payroll). You can also use a leave balance correction to settle the leave balance at the end of employment.

If you want to correct a specific leave entry, open the properties of the leave entry so you can adjust it. If this is not possible any more, or if there is another reason for a correction, use a leave balance correction. A leave correction is not possible in the case of composite leave.

If an employee buys leave or has his leave paid out, Profit can include this in the wage calculation. Profit will post the number of leave hours to a wage component and parameter and include them in the wage calculation.

The wage component is linked in the configuration and must be activated on the date of the correction. If the wage component is not activated, the correction will be entered in Profit Payroll but it will not be included in the wage calculation. An addition to the leave balance will result in a deduction; a write off (by entering a negative number of hours) will result in a payment. These wage entries are not displayed in the Enter wage entries function.

If you change or delete a leave balance correction that falls in an approved period, then this will result in an RAE entry. If you have blocked a leave period, you cannot add any new leave balance corrections in this period or change or delete existing corrections.

You cannot specify any field settings for duration fields. That is because these fields have a specific combination of properties: for example, they are required fields and are not populated using a default value or they are calculated by Profit.

To add a leave balance correction:

  1. Go to: HR / Employee / Employee.
  2. Select the employee.
  3. Click on the action: Leave balance correction.
  4. Complete the entry date:
    • The leave balance correction is created in the leave period that this date falls in.
    • Any deduction or payment is entered in Profit Payroll in the period of the entry date. If this period has already been approved, then this will result in an RAE entry.
    • You can add a leave balance correction if the employee has a valid contract for the period in question.
  5. Select the leave type. Sorts of leave type that are not valid during the leave period (based on the settings in the CLA/term of employment) are not available.
  6. Enter the number of hours.

    A positive number of hours is deducted, a negative number of hours is paid out.

  7. Select the Settle in salary processing check box if you want to settle the correction in the wage calculation.
  8. Click on: Finish.
