Message Not authorised in InSite

The message 'Not authorised' in InSite can be triggered by a number of things. To resolve the error message, perform the checks below.

No or incorrect access to the data filter 'HR – Employees'

In the case of confidential dossier items, the employee must be authorised for the employee data. If the employee sees this message, for example when viewing the pay slip in InSite, the HR filter 'Own employee data' may be set to 'Not active' for this user.

If a manager sees this message, for example when opening a leave request of one of his/her employees, the filter in question is set to 'not active'. If the filter is in fact set to 'Active', check the configuration of the filter.

To be able to use this functionality, you must activate the Split employee authorisation into ESS/MSS functionality.

The employee does not have a (valid) contract

If an employee has left employment or does not have a valid contract, the employee no longer has access to InSite.

The employee is an external employee

Only 'internal' employees have access to InSite. Users of the following types do not have access:

  • Interim employee
  • Temp
  • Borrowed from another company/branch.

The employee is not linked to the user

An employee must be linked to a user to be able to log on to InSite. This means the user and the employee must be linked to the same person.

Check the link:

  1. Go to: HR / Employee / Employee.
  2. Open the properties of the employee.
  3. Go to: Actions (F8)Person.
  4. Go to the tab: Links.

    On this tab you see both the employee and the user.

    If you only see the employee, you must link the employee to the user.

Among other things, refreshing/updating relates to updating the current job, organisational unit and the timetable for employees. Substitutes are also updated.

Check the authorisation

The employee is not authorised for the correct roles or functionalities, or the roles or functionalities have not been configured correctly.

Check the roles and functionalities:

  1. Go to: General / In & OutSite / Configuration / Authorisation role.
  2. Open the properties of the role the employee is linked to.
  3. Go to the tab: Functionality.

    Determine whether the correct functionalities have been linked.

    In the template environments, every role is linked to a functionality with the same name. For example, the authorisation role Rol: Salarisadministratie is linked to the Rol: Salarisadministratie functionality.

    Check the functionalities that are linked to the role.

  4. Go to: General / In & OutSite / Configuration / Functionality.
  5. Open the properties of the functionality.
  6. Go to the tab: Pages.

    Check that the page you want to open is present in the view in InSite. If the page is not present, you add it:

    1. Click on: New.
    2. Select the page you want to add.
    3. Click on: Finish.

    If the page has in fact already been added, check the authorisation for the page parts.

  7. Go to the tab: Page parts.
  8. Select the page part.
  9. Change the authorisation for the page part.
