Issue invoices in bulk using the Output wizard

Using the Output wizard, you can issue invoices in bulk based on a selection. Each invoice is issued in the way that the sales contact prefers: by e-mail or on paper. Profit also automatically e-mails e-invoices to sales contacts for whom this has been set up as the preferred method of issuing.

In the Output wizard, you can specify whether you only want to print/e-mail unprocessed lines or the entire selection. After running the Output wizard, the lines are always 'Completely processed'.

If you want to use this function fully, you must first configure the preferred method of issuing for each contact, the e-mail settings and if applicable the entry layouts and views.

If you also want to use the Output wizard to e-mail the credit invoices, you must have allowed this in the settings.

To issue invoices in bulk using the Output wizard:

  1. Go to:
    • Order Management / Sales process / Invoice
    • Subscriptions / Invoicing / Pro forma invoices
    • Projects / Invoicing / Invoices
    • CRM / Course management / Invoicing / Invoices.
  2. Select the lines:
    1. Click on: Select.
    2. Select Select lines (Ctrl+S).

      Multiselect

    3. Select the lines one by one (or press Ctrl+A to select all lines at the same time).
  3.  Click on the action: Output.
  4. If applicable, select the Only process invoices that have not yet been processed. check box to process the lines that have not yet been printed/e-mailed.

    Note: 

    Normally, an invoice is completely processed when it has been issued in the way set up as the Preferred issue method for the contact.

  5. If applicable, select a different printer.
  6. If applicable, select another printer tray.
  7. Select the Save in client record check box if you want to store the issued reports in the dossier of the contact/contacts.
  8. If you want to sort differently, go to Sorting and select another sorting method for the print-outs.
  9. Select the Descending check box if you want to sort the print-outs in descending order.
  10. Click on: Next.

    You now see an overview of the lines that will be issued and how this will be done.

    1. If you want to see what the report looks like, select a line with Print as the issue method and click on the Print preview.
    2. Select a line with the E-mail issue method and click on the E-mail preview action.
    3. Close the example.
  11. Click on: Finish.
  12. In the message, click on OK to confirm that the processing is complete.

    If you have added the Printed, Dossier, Mailed and Compl. proc. (completely processed) check boxes to the view, you see that the check boxes for the issue methods that you have selected are selected.

    Note:

    If you are using the queue, Profit places this task in the queue. While the task is being performed in the queue, you can continue to work. After the task has been completed successfully, you can retrieve the generated reports.

    The queue is always enabled in AFAS Online. That means this task is always performed via the queue.
