Set a bank account number for e-invoices

If you issue sales invoices as e-invoices (UBL invoices) and/or PDF invoices, you must specify the bank account number the sales contacts/debtors should use for the payments.

If you usually invoice sales contacts from one administration, you can specify the bank account number in the sales contact profile. If you invoice from multiple administrations and you want to set a different bank account number for each administration, you specify the bank account number in the general administration settings of the administrations in question.

If you have sales contacts that purchase goods/services in multiple administrations, for example because you have configured a separate B.V. for each administration, the configuration using the sales contact profile is less suitable. In this situation, you specify the Invoice bank acc. in the general administration settings of the administrations in question.

When creating an e-invoice (UBL invoice), Profit retrieves the sender’s bank account number from:

  1. the sales contact profile linked to the sales contact (invoice debtor)
  2. if it is not found: the general sales contact profile (*****)
  3. if it is not found: the administration settings

An error message appears if Profit cannot find a bank account number based on these options.

Set up an e-invoice bank account in the administration settings

If you invoice from multiple administrations and you want to set a different bank account number for each administration, record the bank account in the general administration settings.

Note:

If you want to use the Invoice bank acc. from the administration settings as the default, make sure you empty this field in the sales contact profile. In that case, you only complete the Invoice bank acc. field in a sales contact profile if you want to use an alternative to theInvoice bank acc. in the administration settings for some debtors.

To set up an e-invoice bank account per administration in the administration settings:

  1. Open the administration.
  2. Go to: General / Administration / Management / Properties.
  3. Go to the tab: General.

    On this tab, you can find the properties that you specified when you added the administration, including the address. You can still modify these.

  4. Go to the tab: New/change issue.
  5. Here, enter an e-mail address and sender for the e-mail messages that you send from Profit, such as electronic invoices. If you do not enter the name then Profit uses the name of the administration as the sender of the e-mail messages. Always include the name of your organisation, so that your e-mail messages are not handled as spam.

  6. If you issue sales invoices as e-invoices (UBL invoices), select your bank account number in Invoice bank acc.. This is the bank account number to which the sales contact must make the payment for the e-invoice. It only applies to the current administration.

    You can also record the Invoice bank acc. in the sales contact profile. In that case, however, this bank account number applies in all administrations.

  7. Enter the EVerbinding company ID of the administration if you send and receive e-invoices via eVerbinding.

    You can only complete this field if you have activated eVerbinding.

  8. Click on: OK.
Set a bank account number for e-invoices in the sales contact profile

You specify the bank account number that the sales contacts/debtors have to use for payments in the sales contact profile. The configuration via the sales contact profile applies to all administrations.

To set a bank account number for e-invoices in the sales contact profile:

  1. Go to: General / Configuration / Integration settings / Sales contact profile.
  2. Select the (default) sales contact profile.

    The default sales contact profile automatically applies to contacts for which you have not set a profile.

  3. Go to the tab: Invoice.
  4. In Invoice bank acc., select the bank account number.
  5. Click on: OK.
