Set the project invoice report layout

When an invoice is printed, Profit determines the report that is to be used for printing. Which report is used, depends on the level that you set something.

The first report is the one with the highest level. If this has not been entered, Profit uses the report that has been set at the next level, etc., with 1 being the highest level and 4 the lowest. So:

  1. Report from the invoice header (only applies if you have added the Report field to your entry layout for subscription/project/ draft invoices and if the invoice in question is a manual invoice or a subscription invoice that has been changed).
  2. Report in the project or subscription properties. (For the project the report is specified on the Report tab and for the subscription in the Dev. invoice layout field on the General tab).

    If appropriate for the project, you can use the field settings to make the fields for the report layout mandatory.

  3. Report that is linked for the subscription invoice, project invoice and draft invoice in the deviating sales contact profile that is linked to the sales contact.
  4. If no invoice report is selected in the linked deviating sales contact profile, the default sales contact profile (*****) is used. The default profile always applies, even if not a single sales contact profile is linked.

    Note:

    Profit only includes the print layout in the hierarchy, if you invoice per project. If you invoice per sales contact, each line can have a different project number. This means that the print layout set in the project properties does not apply.

Profit provides default report layouts for projects. These report layouts cannot be changed, but they can be copied and the copies can then be changed. You can also use Report management to add a report yourself.

To add a new report for project invoices:

  1. Go to: Projects / Output / Management / Report.
  2. Select the Project invoice (Profit) report.
  3. Click on the action: Copy.
  4. Enter a name for the report.
  5. The remaining fields are important for the authorisation.
  6. Click on: Finish.

    Profit opens the report generator and you can immediately start working in the report layout.

  7. Go to: Document / Exit.
  8. Click on Yes to save the report.

To add a new entry layout in which you can select the report per invoice:

  1. Go to: General / Management / Entry layout.
  2. Copy the Profit entry layout or your own entry layout for the invoices.
  3. Go to the tab: Header.
  4. Add the Report field from the General fields.
  5. Click on: OK.

From now on, when you add an invoice with this entry layout, you can select a deviating report in the Report field at the top.
