Set project invoicing

You configure a number of general settings for project invoicing.

To set up project invoicing:

  1. Go to: 
    • Projects / Management / Settings / Invoicing/stock
    • Order Management / Management / Settings
    • Subscriptions / Management / Settings
    • CRM / Course management / Invoicing / Settings
  2. Go to the tab:  General.
  3. Check the financial administration that is entered in  Administration.

    If you have multiple administrations and you want to post the journal entries for the invoices to different administrations, you set the administration per project or per project group. The administration in Administration is in this case used for all projects or project groups to which you have not linked an administration.

  4. Select the Split revenue per VAT duty check box, if you want to specify a separate ledger account for the invoicing per VAT duty. Profit will then journalise the project invoice revenues per VAT duty. This way you can for instance split the domestic and international turnover.

    You record these ledger accounts in the Article group and the Integration group properties on the Integration VAT duty tab that will be displayed if this check box is selected.

  5. Go to the tab: Projects.
  6. Select the Invoice projects to all sales contacts check box only if you do not want Profit to check the link between the project and sales contact during invoicing. In that case, you can invoice lines for another sales contact than the one that is linked to the project.
  7. Select an invoicing method.

    This setting determines if an invoice is created per project, per sales contact or per line when the invoices are generated automatically (drafts or automatic project invoices).

    You have the following options:

    • Invoice per sales contact: the lines being invoiced are collected on an invoice per organisation, regardless of the project they refer to. Multiple projects of the same sales contact are now collected on one (draft) invoice.
    • Invoice by project: a separate invoice is created per sales contact per project, on which only lines related to the project are collected.
    • Invoice per line: a one-line draft or invoice is generated for every line to be invoiced.

    The selected invoicing method also applies if you use Drafts. If you use the Invoice by company method, Profit generates a draft per contact. If you use the Invoice by project method, Profit generates a draft per debtor per project.

  8. Select the cost type to which you want to post the invoice surcharge. Here you can only select a cost type that does not reflect hours.
  9. Click on: OK.
