Record a dossier item at the invoice level

You can add a dossier item and link it to a specific invoice number, for example to record a payment or delivery agreement.

This description applies to debtors as well as creditors.

To record a dossier item for an invoice:

  1. Go to:
    • Financial / Debtor / Overview / Outstanding items
    • Financial / Debtor / Debtor, Outstanding items tab.
  2. Select the invoice.  
  3. Click on the action: File item(s).
  4. Select the dossier item type.
  5. Click on: Next.

    The debtor number and invoice number are automatically entered on the basis of the line you had selected in the view with the outstanding invoices.

  6. Click on: Next.
  7. Enter the description.
  8. Enter additional text, if necessary.
  9. Click on: Finish.

    The Dossier check box is selected in the Openstaande posten debiteuren view. (If necessary press F5 to refresh this screen).

Dossier item for a purchase invoice via a sales contact:

  1. Go to: Financial / Debtor / Debtor.
  2. Select the debtor.
  3. Click on the action: File item(s).
  4. Complete the fields.
  5. Click on: Next. until you see, for example, the Sales invoice field.
  6. If you want, you can select another view to display all invoices that have not yet been journalised.
  7. Select an invoice.
  8. Complete the wizard. 

To view and maintain the dossier:

  1. Go to: Financial / Debtor / Debtor.
  2. Open the properties of the debtor.
  3. Go to the tab: Dossier.
  4. Open the properties of the dossier item.
  5. Click on: OK.
