View a list of balances

The list of balances contains the debtors or creditors with an outstanding balance. The balance is displayed by debtor or creditor.

This description applies to debtors as well as creditors.

To display a view:

  1. Go to: Financial / Debtor / Overview / List of balances (or Financial / Creditor / Overview / List of balances).

    You see a view of all debtors (or creditors) with an outstanding balance.

    If an organisation is a debtor and creditor, you can also see the balance of the associated creditor/debtor in Corresponding creditor balance and Corresponding debtor balance. In that case, balance debtor-creditor displays the Balance debtor amount minus the Corresponding creditor balance amount.

    Note:

    The list of debtor balances contains two debtor balance fields: the balance from the current administration (Admin. balance) and the balance of the total from all administrations (Balance debtor). The Corresponding creditor balance and Debtor-creditor balance fields always show the balances for all administrations. This also applies to the list of creditor balances.

  2. You can change the view’s sorting sequence, for example by sorting on the column Amount (highest first) or by filtering on Amount (for example, if you only want to see balances higher than € 100).
  3. To view the underlying invoices, first select the debtor. Then click on Corresponding invoices.

    Profit shows a view with all invoices that make up the balance. You can view additional data of the invoice via the properties of the invoice.

  4. From the list of balances, you can also use an action to retrieve the properties of the selected debtor or creditor.

Consult report:

  1. Go to: Financial / Output / Report.
  2. Open the report: List of debtor balances (or List of creditor balances).
  3. If desired, determine the debtors you want to see by setting limit values.
  4. Determine the use of the reference date:
    • If you do not select the Use reference date check box, all outstanding items are included in the list of balances. These are outstanding items that are expired as well as those that are not expired.
    • If you do select the Use reference date check box, only expired outstanding items are included in the list of balances. These are outstanding items that should have been paid on or prior to the Reference date.
  5. Click on: Finish.
