Add message templates for Applicant Self Service

You add message templates for the communication with the applicant via e-mail. You use the message types as the basis for your own message templates. By default, Profit contains three message types that you can use for Applicant Self Service.

The three message templates are:

  • Access to portal

    You use this template to give the applicant login details for logging on to OutSite to view their application. A message template of this type already exists. This template is also specified in the workflow. You can also create a message template for applicants yourself. You link the message template for the login details in the properties of the OutSite customer portal that you have configured especially for applications.

  • Workflow action

    You can use this template, for example, to notify the applicant that the status of his application has changed and a response has been added to his application dossier.

    You can also link a message template of this type in the Verzoek om extra informatie action in the Application workflow that you must first add yourself.

    You link these message templates in the workflow action concerned.

  • Application rejection

    You can use this template to notify the applicant that he/she has been rejected for the vacancy. This message template only works with the Reject action.

    Irrespective of whether you have set up this message template in the reject action, when the user performs this action he can choose from all the added message templates based on this message type. Thus, do not specify a message template for the action in the default application workflow.

To add message templates for Applicant Self Service:

  1. Open Profit.
  2. Go to: General / Management / Message / Message template.
  3. Click on: New.
  4. Select the following for Message type:
    • for the message template with login data: Access to portal.
    • for the workflow actions: Workflow action.
    • for the rejection of the applicant: Application rejection.
  5. Enter the Description.
  6. Enter the Subject. Use tags for this.
  7. Enter more of the message in Text. Use tags here too.
  8. Click on: Finish.

To link a message template based on Access to portal to the site:

You link a new message template based on Access to portal to the site. You do not have to do anything if you only adjusted the message template.
