View/change the Application workflow

By default, Profit contains a workflow with which the application is forwarded to the correct users from the moment it is received. You can change the workflow.

You can also add a new workflow based on the current workflow. You would do this, for example, if you want to undertake additional steps for specific vacancies. You then link the new workflow via the profile.

To view/change the Application workflow:

  1. Open Profit.
  2. Go to: CRM / Dossier / Configuration / Dossier item type.
  3. Open the properties of the dossier item type. Application (Profit).
  4. Go to the tab: Workflows.
  5. Open the Application (Profit) workflow.

    You now see the supplied workflow with the tasks and actions.

  6. Click on: the + to see the whole workflow if Profit does not display it directly.

    The application first goes to the user specified as the contact in the vacancy. This person has the task of reviewing the data for authenticity and then can create the applicant.

  7. Double-click on one of the supplied Special actions to add it to the workflow.

    You see the supplied actions at the bottom left. For example, Create applicant without OutSite access, Request to applicant for extra information, Invite an applicant or Employ an applicant.

  8. Click on: an action or task to view the properties.
  9. Select InSite only for Response mandatory if you want the reviewing user to always add a response.

    This is particularly important for actions such as Request extra information. This forces the applicant to do/deliver something. To ensure that the applicant and not you adds the information directly in Profit, you use the response to let the applicant know what you want from him. This is also related to the text in the message template that you add.

  10. Set up a message template per action.

    This is especially relevant if you have added specific message templates for Application Self Service.

    • You set in the Request extra information action that the message must be sent when the action is started directed towards the users of the task (portal users). You also select the message template that you have added for this action or add one now.
    • Do not set up a message template for the Reject action. If the user performs this action using the workflow task, he sees all the available message templates that are based on the Application rejection message type.
  11. Change the Users per task if you want the task (dossier item) to go to another user.

    For the Beoordelen sollicitatiegegevens task, you can now, for example, specify the Responsible for vacancy as the destination instead of the Vacancy contact person . These are both specific destinations for Applicant Self Service that you enter in the vacancy.

  12. Click on: Save.
  13. Click on: Publish.
