Change an employee's part-time percentage
You can change the part-time percentage of the employee by adjusting the timetable.
If you change an existing line, the change will apply from the start date of this line. This can have unintended results and lead to RAE entries in Profit Payroll. New lines with a start date in the past can also lead to RAE entries because the changes relate to periods for which the wages have already been processed.
The timetable plays a crucial role in establishing the employee's part-time percentage. The part-time percentage is used in all components of Profit, but in particular it is used for:
- Leave registration
When leave is registered, the timetable is used to determine the number of hours taken. The start and end dates automatically determine the number of hours of leave taken. This calculation can only be performed when the timetable is completed at the day level. If there is a variable working pattern for which only the days and hours per week have been entered into the timetable, Profit cannot calculate the number of hours taken. In other words, Profit can only calculate the leave taken when the (work) timetables are fully entered. In all other cases, you must enter the hours of leave taken yourself.
- Sick leave registration
Here too, Profit can only calculate the hours of sick leave when the (work) timetables are fully configured. If there is a variable working pattern (without a timetable), Profit cannot calculate the number of hours someone was sick (after reporting back to work). You will have to enter this information yourself when reporting the employee back to work.
- Occupancy reports
Occupancy overviews can only be generated if you are using timetables and the part-time percentage derived from this (FTE factor). If you do not complete the timetables, as a result of which the part-time percentage is not available, then your FTE reporting is not reliable.
To change an employee's part-time percentage:
- Go to: HR / Employee / Employee.
- Open the properties of the employee.
- Go to the tab: Timetable.
- Open the period line.
You see the part-time percentage. This can be changed as follows:
- A default timetable has been selected.
You change the part-time percentage by selecting another default timetable. Profit then calculates the part-time percentage using the formula: Number of hours per week (according to timetable) / number of hours of the working week (according to CLA/term of employment).
The part-time percentage can be higher than 100%.
- The Variable work pattern check box is selected.
You change the number of days and hours per week.
Profit then calculates the part-time factor based on the working week in the CLA/term of employment linked to the employee. The working week in the CLA/term of employment shows the default number of hours based on full-time employment. The number of hours per week in the timetable does not necessarily match the average number of hours per week from the linked work timetables. Profit will report it if these numbers do not match.
If you can change the Part-time percentage field in the case of a variable work pattern, you have indicated this in the CLA. In that case, Profit calculates the number of days and hours per week based on the part-time percentage.
- A default timetable has been selected.
- Click on: OK.
