Authorisation methods

You can authorise users in various ways, depending on your package and module composition. You start with menu, tab and action authorisation. Afterwards you can apply a more detailed authorisation.

Description

Profit offers various types (levels) of authorisation.

At user level you can:

  • Grant access to parts of Profit

    You can give or deny a user access to Profit Windows, InSite and other advanced options.

At group level (and at user level if required) you can authorise by:

  • Menu items
    For each authorisation group or user you can indicate which menu items should be available or not.
  • Tabs
    For each authorisation group or user you can indicate if a tab in a function is available or not (access or no access), if a tab can only be viewed, or if a tab can be maintained.
  • Actions
    For several functions you can see action buttons in the view. For each authorisation group or user you can indicate if these action buttons should be available or not.
  • Data filters
    You can create data filters for various parts of Profit. You can then indicate for each authorisation group or user which data filters should be applied or not. Filter authorisation allows you to determine, for example, that a user can only view the debtors from a particular sector, or that a user can only view certain reports.

    Definitions
    This option is only available for definitions, such as reports and alerts. Views have another option. You determine whether a user can manage, print and export views.

Procedure

  • Grant access to parts of Profit

    You record whether a user has access to Profit Windows, InSite and other advanced options.

  • Authorise by menu

    In Profit you can authorise based on menu items in the Start menu. The Start menu matches the menu in the menu bar. A user only has access to the menu items for which you have authorised him.

  • Authorise by tabs

    In Profit you can authorise groups and users for tabs in property windows.

  • Authorise by actions

    You authorise per user which actions the user can perform in a view or properties window.

  • Give a user or authorisation group all rights

    Usually, you grant all rights to at least one user. This user can then view and maintain all the menu items and all the tabs. You can also grant all rights to a user group.

  • Authorise using data filters

    In the case of filter authorisation, you record filters for tables for which you want to limit the access. This is, for example, possible for employees, dossier items, organisations, purchase and sales contacts and ledger accounts.

  • Authorise definitions

    In Profit all reports, analyses, documents and views are part of the same collective definitions concept. If you authorise definitions correctly, users will only have access to data based on their role or roles within the organisation.
