Authorise editing of a dossier item

Additional authorisation applies to dossier items located in a workflow; you can use this to determine if these dossier items may be changed. You record this authorisation per dossier item type. This authorisation can then only apply to dossier items completed via the workflow, not to other dossier items.

If a dossier item is in the workflow, the person the dossier item is assigned to, can change the properties in InSite. Whether you are able to edit the destination or not depends on the task in the workflow. If the dossier item no longer is in the workflow, the value of the Edit field for the dossier item type applies. Here, you can specify that a dossier item can be edited outside of the workflow. Editing the dossier item is not possible in Profit Windows!

This concerns the following parts of dossier items:

  • Dossier item properties

    This includes the fields of the General and Special fields tabs in Profit Windows.

  • Destination

    Changing the destination is considered to be:

    • Enter or change a contact
    • Change the fields in the With regard to box (where applicable)
    • Complete or change extra fields (for example, the invoice for a sales contact)
    • Completing or changing extra fields of the dossier item (for example, a project). If one dossier item has been submitted to multiple destinations, the destination cannot be changed.

    Note: 

    You cannot change the organisation or person to which the dossier item is submitted.

  • Attachment

    Changing, linking or deleting an attachment. This is only possible if all the conditions below are met:

    • The dossier item has not yet been archived.
    • The dossier item type may be changed (see below).
    • The Link file check box is selected.

    If the dossier item can be changed in InSite, the user is allowed to change the attachment in Profit Windows. There are now two actions for a dossier item: Open attachment and Edit attachment. The first action only opens the attachment, the second action allows the user to change the attachment as well.

    The Edit attachment button is only available if there actually is an attachment that can be edited. You need to configure this in the properties of the dossier item.

    The Edit attachment action is only available if you have configured the Profit Communication Center.

  • Responses

    Responses can always be added to dossier items by every user who can view the dossier item.

To authorise editing of a dossier item:

  1. Go to: CRM / Dossier / Configuration / Dossier item type.
  2. Open the properties of the dossier item type.
  3. Go to the tab: General.
  4. Set the Edit field:
    • Always possible to edit outside of workflow

      The dossier item can be changed, in the event of a workflow dossier item only by users for whom the dossier item is included as a task.

    • Edit outside of workflow if not yet completed

      A workflow dossier item can be changed, as long as the Completed field is not enabled, only by users for whom the dossier item is included as a task.

    • Not possible to edit outside of workflow

      The dossier item cannot be changed, but in the event of a workflow dossier item it can be changed by users for whom the dossier item is included as a task

  5. Click on: OK.
