Delete or block data

You can block specific data that you no longer use. Blocked data cannot be used, but you can often still see it.

Deleting data is often not possible because data is linked to other (historical) data. In addition, you can no longer view deleted data via Profit whereas you can view blocked data.

Example:

The Canteen costs ledger account can no longer be used for new financial entries. Since entries have already been posted to this ledger account, you cannot delete this account.

You block the Canteen costs account. This makes it impossible to post any new entries to this account. Existing entries (history) can still be viewed.

For certain data, specific blocking rules apply. This is explained in the relevant Help topics.

To delete data:

  1. Go to: the function.
  2. Select the data to be deleted.
  3. Click on: Delete.

To block data:

  1. Open the properties of the piece of data to be blocked.
  2. Select the Blocked check box.

  3. Click on: OK.

    Blocked data is not shown in the view, unless the view contains the Blocked field. This is explained below.

You can unblock a piece of data by deselecting the Blocked check box.

To make blocked data visible:

You can make blocked data visible in views containing the Blocked field.

  1. Open a view with the Blocked field.
  2. Click on: the padlock to switch between all data (= including blocked data) and unblocked data only.

      The view does not contain any blocked data.
