Process incoming goods (barcode scanner)

You can also register incoming goods using a barcode scanner and convert them to goods receipts in Profit.

If you want to use the barcode scanner in the goods receipt process, you first have to configure this.

The warehouse employee closes the registration on the scanner and sends the data to Profit. In Profit you see the registration as a scan session ('batch') and you can now approve the lines within it and convert them to a goods receipt.

A warehouse employee can select whether he scans a non-purchase order based receipt or a purchase order based receipt.

  • For a 'non purchase order based receipt', the warehouse employee does not select a purchase order number on the barcode scanner. He scans the purchase contact and the article and then enters the quantity.
  • If he selects the purchase order directly while scanning, then the data from the purchase order in Profit is retrieved. All lines in the scan session are automatically allocated to the selected purchase order number and, if possible, the correct purchase order line. You can scan extra lines that are not linked to the purchase order such as, for example, packaging returns. When sending the scan session(s), if all scanned data matches the purchase order, a goods receipt can immediately be generated.

In Profit you then check the scan session and, where necessary, make changes. In any event, you must change the line(s) on which the Attention check box is selected. A line must satisfy the following requirements:

  • An article line in a scan session must contain a purchase contact (status Complete).
  • A goods receipt or purchase order and purchase line must be selected.

If the lines are correct, you approve them and you generate the goods receipt.

Note:

As yet the scanner does not work in combination with dimension articles, batch entry articles and 'length x width' articles.

To change and approve received goods:

  1. Go to: Order Management / Purchase process / Received goods.

    If two warehouse employees have performed scan sessions at the same time with the same reference and the same purchase contact, Profit checks for this. You then receive a message and it is possible for you to edit the scan sessions in one go.

  2. Open the properties of the scan session line.
  3. If it is for a non-purchase order based receipt, you can use the Allocate action to select a purchase order for the entire scan session.

    Profit then allocates the oldest non-allocated purchase order to these articles.

  4. If necessary, select a line with an article so that it can be changed.
  5. Always change all lines on which the Attention check box is selected.
  6. If applicable, change the serial number.
  7. If applicable, change the lot number.
  8. If applicable, select a goods receipt.
  9. If applicable, select a (different) purchase order and purchase order line.
  10. Click on the Split action for a line on which a purchase order is selected if you want to distribute the quantity on the line across two purchase orders.

    If the quantity is higher than the quantity in the purchase order to which it belongs, but the quantity is correct then you can also immediately approve this. You would do this, for instance, in sectors where deviations of 5% from the agreed quantity are allowed.

    You now see a second empty line under the current line with the excess quantity compared to the purchase order.

  11. Change the quantity in the second new line.
  12. Select the Approved check box after the lines that have been changed and are now correct.
  13. Click on: Finish
  14. Click on Yes in the message

    All lines that have been approved now get the Processed status. The lines that you have not changed and on which the Attention check box was not selected, now also automatically get the Processed status. This means that you can no longer change them. The scan session as a whole gets the Ready status. You also see this status in the view.

When all the lines have been processed correctly, you will find the goods receipt in the view with goods receipts where you can complete it.
