Generate an order proposal

You can generate order proposals based on stock replenishment or sales orders. This means that the quantity to be ordered is based on the quantity up to which the stock must be replenished (if you have specified this) or the quantity required to be able to deliver the sales orders for the article.

The generation of an order proposal is an action of the purchase process. You can generate an order proposal for each article for which stock replenishment is required. You can also choose to generate an order proposal for one specific article, for a range of articles, for a sales contact or per sales order.

Where possible, the order proposal lines are combined in order to get the most favourable prices (graduated prices and such like). When an order proposal is generated, the order is always for the Preferred purchase contact specified at the article level. You can also specify a preferred purchase contact for the Sales contact item code, which then will have precedence when purchasing for this sales contact.

You must schedule a time for generating the order proposal, for example, daily or weekly.

Note: 

When generating the proposal, Profit takes into account any graduated order scale and the minimum quantity that must be ordered from the preferred purchase contact. Because of this graduated order scale and minimum quantity for the purchase contact, the quantity ordered using the order proposal can be more than is required for the sales order.

To add an order proposal for all articles:

  1. Go to: Order Management / Purchase process / Purchase order.
  2. Click on the action: Order proposal.

    You now see the Order proposal view.

  3. Select the Incl. stock replennishment and/or Incl. order proposal sales check boxes if you have configured stock replenishment.
  4. Select the Incl. productionorder check box if you also want to include assemblies that you 'purchase or assemble' yourself.

    You can only do this if you have activated Production.

  5. For Date required, enter a date if you want to have Profit check desired delivery dates in the sales orders/cost estimates in combination with delivery times of the purchase contacts.
  6. Click on the action: F5. Select.

    You see the items for which you can create a purchase order.

  7. If applicable, select one or more lines and click on the Detail information action.

    Among other things, you now see for which sales contact the order proposal line has been generated and what the delivery date is.

  8. If applicable, select one or more lines and click on the Delete action.

    Profit does not generate a purchase order from this line at this time. If you do this in the detail screen, Profit changes the quantity in the main window.

  9. Click on: Finish

    You now receive a message reporting the number of new purchase orders.
    Order proposals with the same purchase contact/delivery address combination are merged into a single purchase order.

  10. Click on: Cancel.

To add an order proposal for a (range of) article(s):

  1. Go to: Order Management / Purchase process / Purchase order.
  2. Click on the action: Order proposal.

    In the view, you see the order proposals compressed by warehouse and item code.

  3. Select a value for Item type.
  4. Select the item codes for which you want to create an order proposal.
  5. Select the Incl. stock replennishment check box if in addition to generating order proposals for sales orders, you also want to generate order proposals for articles of which the stock needs to be replenished.

    Note: 

    If you are using warehouse allocation then for the stock replenishment, Profit checks the Minimum stock and the Supplement to fields that you completed on the Warehouse allocation tab for the article, not the quantities on the Stock tab.

  6. Click on the action: Select.

    You see the items for which you can create a purchase order.

  7. Click on: Finish

    You now receive a message about the number of new purchase orders.

  8. Click on: Cancel.
