Add an article group

You add article groups to group your article range by specific features. If you want to journalise logistics entries, you must also record ledger accounts for the journalising .

You can journalise revenues for each VAT duty if you have set this up in the logistics settings. This way you can apply a split between domestic and international turnover, for instance. If you use this method, then you must also record the ledger accounts for each VAT duty.

Note:

If you want to use the reconciliation of goods receipts with the purchase invoices, you must enable the Journalise stock activation.

To add an article group:

  1. Go to:
    • General / Configuration / Integration settings / Article group
    • Projects / Item / Groups / Article group    
    • Subscriptions / Subscription / Article group
    • CRM / Course management / Configuration / Article group
    • Order Management / Item / Grouping / Article group
  2. Click on: New.
  3. Enter the code for the article group. This can be a number or a short word. You cannot change this later on.
  4. Enter the description.
  5. Select the Contains stock items check box if the article group contains articles for which the stock is tracked.

    If you select this checkbox, then you must record ledger accounts for journalising the stock.

    Once a stock article has been added to the article group, you can no longer change this field.

  6. If you track stock, you can also select the following check boxes:
    • Select the Take stock check box if stock can be taken of the stock articles.
    • Select the Reconcile check box if you want to reconcile the stock articles.
  7. Select the ledger accounts for the journalising.

    Which ones you have to set up depends on the check boxes you have just selected.

    • Revenue account - You enter the turnover on this account. You can only select a ledger account for which the Allow VAT check box on the Preferences tab is selected. Consult Journalise sales invoice and Sales journal entries.
    • Credit entry acc. - Consult Journalise a sales invoice.
    • Account stock - Consult the examples for Purchase journal entries, Sales journal entries, etc.
    • Purchase acc. - for purchasing. Consult the examples for Purchase journal entries and Transport costs.
    • Acc. price difference - for purchasing. Consult the examples for Purchase journal entries.
    • Account revaluation - A revaluation of the stock occurs when you change the transfer price. You can add a new transfer price manually but you can also recalculate the transfer prices based on a specific calculation method using a collective change of prices.     • Delivered articles acc. en Articles to be delivered acc.

      Between the creation of an invoice and the actual delivery there is a period of time. To identify clearly that an invoice has not yet been processed although there has been a delivery and vice versa, Profit places these entries on a suspense account. For articles that have been delivered but for which the invoice has not yet been received (the default order processing method), you set the Delivered articles acc. account. For articles that have not yet been delivered but for which an invoice has already been received (for example, in the case of an advance payment), you use the Articles to be delivered acc. account.

    • Sales cost price acc.
  8. Click on: Next.
  9. Select the other ledger accounts.

    Which ledger accounts you can and/or have to link depends on the functionality that you have configured:

  10. In Verkoopmarges, enter any maximum discount percentages and minimum margin percentages that can be granted/must be achieved for all articles and assembled items in this article group.

    Profit checks this as soon as a discount is recorded. In entry layouts for sales orders, you can indicate that the sales margins must be checked when adding quotations and orders.

  11. Click on: Finish.
