Validity combination

In Profit Projecten you can define validity combinations in advance to determine who may post entries to which projects and with which work types. In order to set this up, you must first define the calculation bases.

Profit only applies validity combinations when entering hours and units; they don’t affect articles.

Description

You use validity combinations to ensure that no incorrect entries are made in the actual costing lines (and possibly in the cost estimate lines). In the validity combinations you define combinations of data which may only occur in these specified combinations. Before you add these combinations, you must first determine the calculation bases.

By using validity combinations you can prevent employees entering hours on projects to which they are not assigned. In addition, you can distinguish between 'productive' and 'unproductive' projects and work types and by using a validity combination prevent productive hours being entered in unproductive projects and vice versa.

When you define validity combinations, Profit automatically applies a filter in the entry program so that only allowed values are displayed.

Note:

If you do not define validity combinations, Profit will not perform any checks when you enter data: all combinations are allowed.

However, if you do define validity combinations, you must ensure that all allowed combinations are actually defined. In this case, entries can always only be made using the validity combinations created.

Procedure

  • Define a calculation basis

    If you want to use validity combinations, you must determine the calculation bases on which you want to base the validity combinations.

  • Add a validity combination

    When you have defined the calculation bases for the validity combinations, you can then add the validity combinations.

  • View and change a validity combination

    If required you can change the start and end date via the Properties of the validity combination; you cannot change the calculation bases.

  • Use multiselect to set an end date for validity combinations

    You can use multiselect to set an end date for multiple validity combinations at the same time. These combinations are no longer valid after this end date but this way you do save the history of the combinations and you can always check which validity combination was applicable on a particular date.

  • Import the validity combinations

    You can import validity combinations.
