Record an e-mail message (Outlook) as a dossier item (Profit Communication Center)

You can save e-mail messages in Outlook as dossier items in Profit.

Send an e-mail message and submit it as a dossier item
  1. Start Microsoft Outlook.
  2. Create a new e-mail message.
  3. Click on: Record.

    This button functions as an on/off switch with which you indicate that after you have sent the message, you want to submit the message as a dossier item. If applicable, also select the required environment.

  4. Send the e-mail message.
  5. InSite opens for the recording of a dossier item.

  6. Click on the dossier item type that you want to use.

  7. If this list becomes too long, you can record a filter that will in the future be applied automatically, so that by default you only see the dossier item types you need.

    Steps for recording a filter

  8. Select an attachment if you want to record an attachment.

    The text of the message is recorded in the Comment field of the dossier item, but in that case the layout of the text is lost. If you record the message as an attachment, you can display the original (including the layout) at a later stage, using Profit.

  9. Select the destination:
    • If the e-mail address of the addressee only appears for one contact person in Profit, that contact person is selected automatically. If this is not correct, select another destination type and another destination.

    • If the e-mail address of the addressee appears for multiple contact persons in Profit, select the contact person. Or select another destination type and another destination.

    • If the e-mail address of the addressee does not appear for a contact person in Profit, select both the destination type and the destination.
  10. Click on: Record.
  11. Complete the fields. These depend on the dossier item type. Fields marked with an asterisk are mandatory.
  12. Click on: Create.
Submit an existing e-mail message as a dossier item
  1. Open the e-mail message.
  2. Click on:Record.

  3. If you are using one environment in combination with the Profit Communication Center, you register a dossier item in that environment. Continue with the next step.

    If you have multiple environments, click on the required environment.

    InSite opens a page for recording a dossier item.
