Automatically update workflow activities

If you change the users for a task in the workflow, in selections or in the organisation chart then it may be necessary to re-determine which users have rights to a particular task.

Note:

Updating tasks is mandatory if you are using workflows.

In AFAS Online, this process always uses the queue. For a local installation, using the queue is the recommended procedure, but you can also use the 'SYNCWORKFLOWACTIVITIES' command line.

This command line performs the following actions:

  • Update users after configuration changes (see the below overview)
  • Send e-mail messages if this has been set up for an action or task.
  • Complete HR-related workflow actions that take some time, such as the approval of a leave request and the approval of an address change.

The below changes in the configuration are implemented in workflows by running the command line:

  • Workflow editor
    • If the field [Intended for] is changed for a task
    • If a task is added or deleted
    • voor updating data-amending workflow tasks.
  • User group
    • If the field [fill automatically] or [selection] is changed for a user group and

      the user group is used in a workflow in the field [intended for].

  • Selection
    • If a selection is changed that is used to fill user groups and

      the user group is used in a workflow in the field [intended for].

  • Organisation chart
    • If the organisation chart is changed then all users for all tasks for which one or more responsibilities are completed [Intended for] need to be determined once more.
