Project invoicing

You can add project invoices in several ways:

  • Generate them from the actual costing (invoicing on a 'cost-plus basis', directly or in advance using a draft invoice).
  • Generate from instalments determined in advance (agreed price).
  • Manually.

Description

By generating project invoices you can charge the costs and hours entered on a 'cost-plus basis' to the client. If you invoice on a 'cost-plus basis', you can choose to have an extra step in the invoicing process by first creating draft invoices that can still be changed and from where you can also 'advance' lines to a next project invoice.

If necessary, you can add a surcharge to the purchase invoices and costs that have been carried forward to the project.

You can also manually add project invoices which are not based on actual costs and hours, but whose revenues must in fact be registered for a project.

You can print the project invoices immediately, but this can also be done separately later on.

Procedure

  • Automatically generate project invoices

    When you invoice automatically on a 'cost-plus basis', you charge the hours, units, materials, purchase invoices and financial costs entered in the actual costing one-on-one to the client using a sales invoice. If you want to do this, specify that you want to charge the lines when you enter the actual costing.

  • Manually add project invoices

    In addition to the invoices that have been generated automatically on a cost-plus basis, you can also invoice manually in Profit Projects.

  • Instalment invoicing

    You can use instalment invoicing to efficiently add and invoice instalments per project.

  • Issue project invoices using the Output action

    Using the Output wizard, you can e-mail, print and save a selection of the project invoices in the dossier, all in one action.

  • Issue project invoices using the Print action

    Use the Print action in the view to immediately print the selected invoices.

  • E-mail a project invoice

    You can manually select and send one invoice using the E-mail action.

  • Change project invoices

    As long as the invoices have not yet been journalised to the financial administration, it is still possible to change non-compressed invoices afterwards. For compressed invoices, you can only change the compression text.

  • Credit a project invoice

    You can manually credit a project invoice.

  • Collectively delete project invoices

    Using the Delete project invoices collectively action you can clear the completed invoices from previous years.

  • Journalise project invoices

    You journalise the invoices that you have generated in Profit Projecten and/or added manually to Profit Financieel. This way you journalise the costs and turnover, and generate outstanding items for debtors.

  • View a project invoice in InSite

    You can view a project invoice in InSite. You can also use this method to view subscription invoices en logistics invoices in InSite. InSite shows the PDF of the invoice if you selected the Save in client record check box when you generated the invoice and if it has been journalised.

  • Distribute the project invoice turnover across multiple periods

    Afterwards, you can still distribute the turnover from project invoices across multiple periods using transitory entries.

  • Carry sales invoices and revenue entries forward

    In addition to registering project revenues by entering project invoices, you can also enter sales invoices in Profit Financial and carry them forward to the project administration. This is for instance the case if you use a different invoicing application than Profit. You can also carry forward to a project revenues that are not based on an invoice.
