Collective leave entry

You can record a collective leave entry for multiple employees of a specific employer. You use this option, for example, to enter the same day off for all employees.

You cannot add a collective leave entry for employees with a variable work pattern. You can only add a collective leave entry for employees with a specified timetable (the timetable contains working hours). Profit will determine the duration of the leave based on the timetable calendar of the employees concerned. This takes into account days closed, 'ATV' and break time.

Even for employees who have not been scheduled during the leave entry, Profit records a leave entry with a leave duration of zero hours. Should one of these employees subsequently be scheduled during the leave entry, then the leave is automatically recalculated.

The employment that is valid on the start date of the leave entry is included in the leave entry. If there are multiple simultaneous employments, then a leave entry is created per employment.

It is not possible to add a collective leave entry using a composite leave type.

To add a collective leave entry:

  1. Go to: HR / Presence and absence / Collective leave entry.
  2. Enter the start and end date and start and end time of the leave entry.
  3. Select the leave type, reason for leave and employer.

    Composite types of leave cannot be selected.

  4. Click on: Next.

    You see employees who qualify for the leave entry.

    The conditions are:

    • The employee has a valid contract during the leave period and is not blocked.

      Employees who only have an employment for part of the period are displayed too. For these employees the start date or end date of the leave entry is modified, so no leave entries are made outside the period of employment.

    • The employee has a timetable or a work timetable.
    • The employee can use the selected leave type based on his CLA/term of employment.
    • There is no overlap with an existing leave entry or an existing case of sickness.
    • The leave entry relates to one leave period table.
  5. Select the employees (or select all employees using Ctrl+A).
  6. Click on: Finish.

    As a result of entering a collective leave entry, a negative leave balance may originate for an employee. Profit takes no account of whether or not a negative leave balance is allowed for the leave type. In case of a collective leave entry the employee has no choice. We advise you to enter the collective leave entry as early as possible so that you prevent a negative leave balance.
