Import leave entries

Import leave as whole days or as duration

In the HR settings, you can determine whether new leave entries concern a whole day or not. This setting refers to leave entries that you add manually in Profit or InSite.

This field is also available in the import function. Make sure you always specify the correct setting here. If this setting is the same for all lines to be imported, you can define it as a fixed value:

To import leave entries:

  1. Go to: .
  2. Follow the instructions given by the wizard., until you reach the screen with field links.
  3. Specify the value of the duration field.

    Profit always saves the duration of leave entries in minutes, regardless of how it is presented in Profit. The following distinction is important when importing leave entries:

    • The employee has a weekly timetable or a work timetable

      Profit determines the duration of all leave entries based on the start date and time and the end date and time of the leave entry, in combination with the timetable calendar. This also applies to imported leave entries. If you specify a leave duration in the import file for employees with a weekly or work timetable, then Profit will ignore this value.

    • The employee has a variable work pattern

      Profit cannot determine the leave duration automatically, you must enter this in the import file.

      If you import a value in hours, then these have to be converted to minutes using the Number times 60 conversion option.

    Example: 

    The import file contains a leave line with a leave duration of 1.75 hours (one and three quarter hours).

    The Number times 60 option is used to convert it to minutes: 1.75 * 60 = 105 minutes.

    Profit records a leave duration of 105 minutes in the database.

    Use the correct decimal separator in the import file. This depends on the regional Windows settings:

    • On an English system use a full stop as the decimal separator. So one and three quarter hours is 1.75.
    • On a Dutch system use a comma as the decimal separator. So one and three quarter hours is 1,75.
