Conversion activities
In new versions and updates, fields in Profit may have been replaced, deleted or added. These changes are implemented in the supplied views, reports, etc., but not in your own definitions. You have to adjust these yourself.
Where possible, your own definitions will be updated during the conversion. If this turns out to be impossible, you will have to change these definitions yourself. This can be necessary in the following situations:
- Temporary fields
A definition can contain a field that no longer exists in the database or has changed significantly. Such a field is replaced by a temporary field.
Example: message 1:
The Approve actual costing data collection has been corrected automatically. The following fields could no longer be derived and have been replaced by a temporary field: Relation, Type of work description
- Fields that appear in filters
A definition can contain a field that no longer exists in the database or has changed significantly. Such a field is deleted from the filter. Verify that the filter still works correctly.
Example: message 2:
The filter for the data collection has been changed, as the composition of fields has been changed. The original filter was: <deleted field> = 1
You can check your definitions using the Conversion activities menu option.
Note:
The Conversion activities function has to be authorised first. The authorised user has access to all definitions that have to be changed. As a result, this user also has access to definitions which, normally, he is not authorised for.
To check the definitions:
- Go to: General / Output / Management / Conversion activities.
- Click on: Yes.
If you click on Cancel while the check is still being performed, the next time that you start the function, the data collections that have not yet been checked will be checked.
Profit displays a view with definitions, in which the data collection is displayed per definition. Extra columns are displayed to indicate the definition type.
- Double-click on a definition.
Profit displays a message with the name of the data collection and conversion information.
- Click on: Close.
To change a definition:
- Select the definition.
- Click on the action: Modify.
- The definition opens and you can change it.
- Open the data collection. Please refer to the following topics for more information.
- Replace temporary fields with fields from the database.
- Save the definition.
To complete the procedure:
- Select the definition that you have corrected.
- Click on the action: Finished.
- Once you are finished with the data collection, you can change its status to indicate that it no longer needs to be checked/changed.
- Click on: Finished.
