Bank account numbers to IBAN

For SEPA, you need to convert the bank account numbers of all organisations and persons in Profit into IBAN account numbers.

Check if the bank account numbers in your administrations are IBAN account numbers. You can convert your own bank account numbers to IBAN for each account number ‘manually’. You can also convert the bank account numbers of all organisations and persons (including debtors, creditors, employees) individually or you can convert them all at the same time using an import file.

Note:

You can convert all bank account numbers to IBAN now but you do not need to switch over to automatic SEPA payments or SEPA collections just yet.

After you have converted the bank account numbers to IBAN, you can continue to use the payment order with payment method Home land payments in basic currency. Also, you can continue to use the collection order in Clieop file format. You switch over when you set your bank account to SEPA format (SEPA Direct Debits and/or SEPA Credit Transfer) .

Convert the bank account number of your own bank to IBAN

You change the bank account numbers of your own banks to IBAN account numbers.

You can check the IBAN number and BIC code for a Dutch account number using the website: www.ibanbicservice.nl. For a Belgian bank account number, on the website: www.ibanbic.be.

To convert the bank account number of your own bank to IBAN:

  1. Go to: General / Configuration / Payment settings / Bank account.
  2. Select the account number.
  3. Click on the action: Change account to IBAN.
  4. Click on: Next

    Next you see the current account settings at the top.

  5. Select the IBAN check check box.

    The IBAN number field is modifiable.

  6. Complete the IBAN number field.

    Profit automatically completes the Bank account, BIC code and Bank type fields.

    Enter the BIC code in capitals if you are entering it manually.

  7. Click on: Finish

Import the bank account numbers of organisations and persons

You can also convert the bank account numbers of all organisations and persons (including debtors, creditors, employees) to IBAN all at the same time using an import file. To this end, an analysis is available in Profit, Bank account number to IBAN (Profit). You can use this to export a file with the existing bank account numbers of all organisations and persons recorded in Profit. You then submit this file to the IBAN Service NL site. This service is provided by the Dutch central Bank. For the conversion of Belgian bank account numbers, view Bank account numbers to IBAN (Belgium).

Note:

Note: this service does not apply for your own bank account numbers. You convert these to IBAN in accordance with the procedure described above Convert the bank account number of your own bank to IBAN.

To export the bank account numbers of organisations and persons (including debtors, creditors, employees):

  1. Go to:
    • CRM / Output / Analysis
    • General / Output / Analysis(if you do not have CRM / Output / Analysis)
  2. Open the analysis:Bank account number to IBAN (Profit).
  3. Click on: Finish.

    The analysis opens in Microsoft Excel.

  4. Select a location for the export of the analysis in Locatie.
  5. Click on:Generate the export.

You can use the exported analysis for the conversion of the bank account numbers to IBAN account numbers using https://www.ibanbicservice.nl/Homepage.aspx. Once you have converted the account numbers to IBAN account numbers using this website, you can then use the Excel or CSV file as an import file for Profit.

To import existing bank account numbers of organisations and persons (including debtors, creditors, employees):

  1. Go to:CRM / Management / Import CRM / Bank account number to IBAN
  2. Next, proceed with importing using the wizard.

To authorise the Bank account number to IBAN menu function:

If you do not see the Bank account number to IBAN menu function, then you are not authorised to use it. You must then first authorise this menu function in Authorisation tool.

  1. Go to: General / Management / Authorisation tool.
  2. Go to the tab: Group maintenance or User maintenance.
  3. Select the user or authorisation group by clicking on them once.
  4. Go to the tab: Menu.
  5. Select the Bank account number to IBAN menu function check box.
  6. Go to: Menu maintenance / General / CRM / Management / Import.

If your license only includes Financial or HR/Payroll, your options in CRM are limited. That is why the analysis cannot be accessed from CRM in that case. The analysis can, however, be accessed from General.

In this case, you open the analysis as follows:

  1. Go to: General / Output / Analysis.
  2. In the Definition column, search for IBAN.
  3. Open the Bank account number to IBAN (Profit) analysis.
  4. The analysis opens in Microsoft Excel.
  5. Select a location for the export of the analysis.
  6. Click on: Generate export.

You can use the exported analysis for the conversion of the bank account numbers to IBAN account numbers. Once you have converted these bank account numbers, you can use the Excel or CSV file as an import file in Profit.

If you do not have Profit CRM, you can import IBAN numbers and BIC codes as follows:

  1. Go to:Financial / Management / Import debtor and creditor / Purchase contact-person or Financial / Management / Import debiteur en crediteur / Purchase contact, organisation.
