View and change the length of ledger account numbers

When you add an environment, you set the limits of the ledger as part of the settings of the environment. These limits determine the lowest and the highest account number and the length of the account numbers.

If you increase the length, a zero is added at the end of the account numbers already added. If you decrease the number of positions, the last digit is dropped. Profit displays a warning that the last digits will be dropped and cannot be restored. In addition, the system verifies whether this decrease creates any duplicate numbers.

Example:

You currently have ledger accounts 1000, 1001 and 1010. You reduce the length to 3 positions. Since this will cause the last digit to be dropped, you will end up with account numbers 100, 100 and 101. Duplicate account numbers are not allowed; they result in an error message.

To view the length and limits of ledger accounts:

  1. Go to: Financial / Management / Settings.
  2. Go to the tab: General.

    The Ledger from and Ledger up to and incl fields display the lowest and the highest numbers that you can use for the ledger accounts. When you add a ledger account, its code must be between these limits.

  3. Close the window.

To change the length (number of positions) of ledger accounts:

  1. Go to: Financial / Management / Settings.
  2. Go to the tab: General.
  3. Click on: Actions (F8) / Wijzig lengte rek.nr.

    Note:

    The Wijzig lengte rek.nr. action requires action authorisation. This action is authorised via General / Management / Authorisation tool.

  4. Enter the number of positions of the ledger account numbers.

    The length of the account numbers can vary from 3 to 9 digits.

  5. Click on: Finish.
