Determine the import definition

You can export a chart of ledger accounts from one environment and import it into another environment.

Certain fields can be mandatory for importing data. You can easily retrieve the data this concerns. Certain fields can be mandatory for importing data, even if they are not displayed as mandatory (yellow). Whether a field is mandatory also depends on whether you are importing new or existing data.

Example: 

If you import a new ledger account, you may see the message that the value entered in the Type of account field does not exist in the environment. This message does not appear if you are importing an existing ledger account with entries (changes). For a new ledger account the field is mandatory, but this is not apparent in the import definition (the field is not displayed in yellow to indicate it is mandatory). In this case, you have to change the value of Type of account from a description to a code and import the code. The following values are allowed for Type of account:

1 - Assets

2 - Liabilities

3 - Revenues

4 - Costs

To determine the import definition:

  1. Open the target environment (the environment into which you want to import the chart of accounts).
  2. Go to: Financial / Management / Import ledger / Ledger account.
  3. Generate an Excel sheet with an import definition.
Adjust and export a ledger accounts view

You now have an Excel sheet with all mandatory fields that must always be included in the import file. Now adjust the ledger view so that the mandatory fields are visible and export this view to Excel.

To adjust and export a ledger accounts view:

  1. Open the source environment (the environment from which you want to copy the chart of accounts).
  2. Go to:Financial / Ledger / Ledger account.
  3. Add a view.
  4. Place all mandatory fields in this view.
  5. Export the view to an Excel file.
Import a ledger

You import ledger accounts are imported into the target environment.

To import a ledger:

  1. Open the target environment (the environment into which you want to import the chart of accounts).
  2. Go to:Financial / Management / Import ledger / Ledger account.
  3. Import the ledger accounts.
