Basic configuration

Profit is an integrated product in which you record a large part of the data just once and centrally. In this section, you add the first environment and record the basis data of the company administration. Basic data is frequently used in more than one part of Profit.

Examples:

  • Ledger

    You record ledger accounts in Financial but you also use them for journalising in the other modules.

  • Employees

    You record employees in HR. However, employees are used in many places in Profit, for example, for the registration of cost estimate and actual costing lines in Projects.

  • Articles

    You use articles in various logistics modules in Profit CRM. Profit CRM offers the course management module. The courses offered are also articles.

If you change data in the company administration, these changes can affect the various Profit components.

Items such as authorisation, custom configuration and entry layouts come under application management.

With the AFAS template environments which are developed for specific sectors, you will be up-and-running in no time. A template environment will provide you with a basic configuration. You will probably still need to adjust this to your company's situation. Contact your consultant to learn how to use template environments.

Description

Profit is an integrated product for central, one-off recording of a large amount of data, such as bank accounts, period tables and settings for invoicing. This is the basic configuration. You determine these settings once when setting up Profit. It may be necessary later to change certain data or settings, such as during the transition to a new year or if certain circumstances change. Because this concerns central settings, these adjustments often have consequences for several modules.

Procedure

  • Add the first environment

    If you have installed Profit and are starting it up for the first time, then you must add the first environment immediately. You can add other environments later.

  • Activate the functionality

    Most of the functionality in Profit is available by default. However, you must enable certain components separately because they apply to a specific group of customers. Examples of this are the use of budgets and budget scenarios. These extra components are only available after your have activated them. This way, you can decide for yourself whether or not you want to work with this functionality.

  • Set up the start menu

    You can add a hyperlink as a menu selection to the Start menu.

  • Country settings

    For a country, you can record some settings, which makes entry of addresses less prone to errors and makes addresses easier to look up.

  • Configure languages

    You can use Profit in multiple languages. We support Dutch, British English, French and Belgian Dutch.

  • Configure time field input

    In the environment properties you set the duration settings, meaning that you indicate how time can be entered.

  • Set days closed

    The Days closed table contains the days the company is closed. These can be public holidays supplied as defaults or days you have added yourself.

  • Configure a period table

    A period table contains all years and periods in which you want to record entries. These periods can be months, quarters, weeks, etc. In a period table with quarters, for instance, the year has 4 periods.

  • Configure a periodic allocation table

    You use periodic allocation tables to budget ledger accounts and cost centres and to determine periodic depreciation amounts for fixed assets.

  • Configure auto numbering and counters

    You can have a great deal of data in Profit numbered automatically (encoding), such as organisations, quotations, vouchers, invoices, etc. If you use this option for organisations for instance, then Profit automatically suggests an organisation number when adding an organisation.

  • Set up bank accounts
  • In Profit, you can register your own bank account numbers at a bank that has been recorded as an organisation. In this case, these bank account numbers are used, for example, for automatic payments to creditors and automatic collection from debtors.
  • Configure invoicing and integration

    You configure the invoicing and the integration with Profit Financieel.

  • Configure report printing and e-mailing

    You can send reports, such as quotations and invoices, to your contacts by e-mail or printed on paper. In addition, you can issue invoices as e-invoices, a file format that the receiving party can import directly into their software. For this, Profit takes account of the preferences of your contacts.

  • Configure e-invoicing

    You can e-mail the invoices as e-invoices to the sales contacts. In that case, the contact receives an attachment with a UBL file and a PDF file that they can import directly into their administration. For e-invoices, you must configure the specific sales contact profile and determine the preferred issue method for each sales contact.

  • Configure journalising

    You configure the journalising of various processes in Logistics, Subscriptions, Projects and Courses. This is also known as the integration with Profit Financieel.

  • Set the rounding method

    In Profit, you have the option to record a rounding method in various places, for example when recording prices or revaluing prices.

  • Set up logging

    Logging entails that certain events are automatically tracked in a log file.

  • Queue
