If you wish to monitor the costs and revenues and the progress of the activities per project, you must configure this first.

Description

For the registration of hours, units and costs in the actual costing of Profit Projecten and for the invoicing, data from other Profit modules is used too. You must have configured these, before you start using Profit Projecten. In addition, there are some specific settings you have to specify for Profit Projecten.

For the configuration and maintenance of Profit Projecten, you can choose from several methods. You can configure your project administration in a very flexible way in Profit Projecten. In the implementation phase, you have to make some choices and consult the responsible employees in your organisation and, if necessary, AFA.

Creating drafts is an extra step in the invoicing process. Before actually invoicing the actual costing lines, you create a draft invoice. The draft can be reviewed and, if necessary, edited. Drafts are particularly useful if you have to create more than one invoice for a project or if you use invoices to settle advance notes.

If you use articles in a project, you can only arrange this in Profit Projects, but you can also use the integration between Profit Projects and Profit Order management. Using the integration, you can reserve stock of the articles and/or generate order proposals, register the receipt of the articles and collect the articles for a project (phase) on a packing slip.

Procedure

The following topics are described:

  • Configure the basic master data in Profit

    For the registration of hours, units and costs in Profit Projects actual costing and for the invoicing you use various master data. You must first add these and set this data.

  • Configure the settings for Projects

    You first have to specify the settings before you can use Profit Projecten.

  • Configure the entry of hours

    You can use the time registration as the basis for the actual costing. In Profit Projecten, you can set up the time registration in a way that completely meets the requirements of your organisation.

  • Validity combinations

    In Profit Projecten you can define validity combinations in advance to determine who may post entries to which projects and with which work types. In order to set this up, you must first define the calculation bases.

  • Rates

    To determine the costs and revenues involved in a project, in the cost estimate and actual costing lines you can record a cost price per hour or per unit. Profit then calculates the cost price amount per line from the number of hours or units and this cost price.

  • Custom dimensions

    By default, Profit Projecten has a number of dimensions to which you can post entries and on which you can request information.

  • Configure cost estimates

    In Profit Projecten you can use a cost estimate to record a budget for a project. Because you can use the cost estimate as a quotation, you can use separate numbering for cost estimates. There are various methods for this; you specify which method you want to use in the project settings.

  • Configure the actual costing

    We define actual costing as 'registering the actual costs per project'.

  • Integration of actual costing and salary processing

    From Profit Projecten you can include the actual costing lines in the salary processing in Profit Payroll, even if you do not use Profit Projecten.

  • Configure teams

    Configure the Teams functionality in order to create project teams and to record team members for projects.

  • Configure project profiles

    Using a project profile, you can record the behaviour of fields and the preferred values for a number of project data. This way, you record a basic project type with a basic configuration. This simplifies and speeds up the addition of similar projects.

  • Configure work in progress

    You must first activate and configure the WIP integration before you can use this functionality.

  • Configure prices including VAT

    Standaard zijn de prijzen en tarieven in Profit exclusief btw. Het is echter o.a. in Profit Projecten, Profit Order management en Profit Course Management toegestaan om verkoopprijzen en verkooptarieven inclusief btw aan te maken.

  • Calculate a sales price based on an hourly wage

    When invoicing hours in the payroll/temporary employment industry it is customary to calculate the price on the basis of the hourly wage, including allowance and margin. This option is also available in Profit.

  • Configure project invoicing

    You have to configure a number of settings first before you can use Profit Projecten to invoice. You also have to configure the integration with Profit Financial.

  • Configure allocation links

    You can record allocation links for the integration of allocations with Profit Financieel. The link is used to register the revenue entries from the invoices in Profit Financieel per cost centre (product, department, etc.), giving you more insight and consequently options for adjustments.

  • Configure the draft invoicing

    When configuring the draft invoicing you enter the settings for draft invoicing and the entry layouts and you specify the master data.

  • Configure progress

    In Profit you can record the progress of a project.

  • Configure batch processing (queues)

    You can use the Profit Batch Service to perform certain tasks in the background, such as approving the actual costing. You can continue to work in Profit while the Profit Batch Service performs these tasks. You do not have to wait until the task has been completed.

  • Configure projects in InSite

    Before you can use Projects with Project Self Service in InSite and/or OutSite, you must first configure the functionality.
