Copy order lines when adding a purchase order

During the addition of order lines to an order, you can copy from all kinds of orders. You can copy order lines from a basic order, goods receipt or another order to the order being added.

Note: 

In the following steps, you will see the terms Order and Order line. If you select another order type in the Order type field, such as Receipt, then replace the term Order in the steps below by the term Receipt and replace Order line by the term Receipt line.

To copy order lines:

  1. Go to: 
    • Order Management / Purchase process / Purchase order
    • Order Management / Purchase process / Purchase basic order
    • Order Management / Purchase process / Receipt
  2. Click on: New
  3. Select the purchase contact.
  4. Click on the action: Copy order lines

    By default, you see the order type that you are currently using. Furthermore, for Purchase contact the default is the purchase contact for which you are currently adding an order.

  5. In Order type, you can select another order type from which you want to copy the lines.
  6. In Number, select the number of the current contact from which you want to copy the order lines.
  7. Select another Purchase contact or deselect the Selection on creditor check box so that you can copy lines from orders for all purchase contacts.
  8. Enter a value in: Currency.
  9. If required, select date limits in Date from and Date up to and incl.
  10. Click on: Next

    Now you only see the orders that fall within the entered selection.

  11. Select the orders from which you want to copy order lines.
  12. Click on: Next
  13. If necessary, you can change the factor.

    You can influence the number of units in the order(s) by using a factor. The default factor in Profit is 1. If required, you can change the suggested factor. You can enter a positive or a negative factor.

    Example:

    Thus, if you enter a factor of 2.00 when copying order lines, Profit multiples the number of units in the order line(s) to be copied by 2.

    If you want to add a credit note for an order then use the factor -1. Profit will then copy the order lines from the selected order and multiply the quantities by -1 so that all quantities are negative.

  14. Select the Redetermine prices check box if you want to recalculate the prices in the copied order lines based on the prices that are applicable for the purchase contact for whom you are adding the order. If you do not select this check box then the price is copied from the source line.
  15. Select the Stipulate line discounts again check box if you want to recalculate the discounts in the copied order lines based on (any) discount applicable for the purchase contact for whom you are adding the order.

    If you do not select this check box then any discount is copied from the source line. Profit always copies the discount percentage to the order line and then uses this to recalculate the discount amount. 

  16. Click on: Finish
