View an outstanding item or edit it for collection

When generating or entering the invoice, by default Profit copies the settings from the debtor. Among other things, these settings determine whether a debit mandate is required or not. You can view the settings in the properties of the outstanding item or you can change them afterwards.

You can exclude outstanding items from collection, for example because you have a payment agreement with a debtor. The reverse is also possible: you can collect an outstanding item from a debtor for whom you normally do not do that.

Edit outstanding items for collection

You can view the settings in the properties of the outstanding item or you can change them afterwards.

To view an outstanding item or edit it for collection:

  1. Go to: 
    • Financial / Debtor / Overview / Outstanding items
    • Financial / Debtor / Debtor, Outstanding items tab
  2. Open the properties of the outstanding item.
  3. Go to the tab: General.

  4. Check that the Automatically collect check box has been selected. If necessary, select this check box if you want to automatically collect this outstanding item.

    By default Profit determines whether the outstanding items should be collected automatically on the basis of the Automatically collect debtor setting.

  5. Check that the Debit mandate required check box has been selected. Select this check box if you want to set up a one-off debit mandate for this outstanding item.

    If you just selected the Automatically collect and/or Debit mandate required check boxes, you then have to set up the mandate for the invoice.

    You cannot change Debit mandate date on this tab. You enter this date on the Collection mandate tab or you follow the procedure described in Mandate for an invoice

  6. Click on: OK

Exclude an outstanding item from collection

By default, Profit determines whether the outstanding items should be automatically collected on the basis of the debtor settingAutomatically collect. You can deviate from this setting using the procedure below.

To exclude an outstanding item from collection:

  1. Go to: Financial / Debtor / Overview / Outstanding items.

    You can also retrieve outstanding items via the Outstanding items tab in Financial / Debtor / Debtor.

  2. Open the properties of the outstanding item.
  3. Deselect the Automatically collect check box if you do not want to collect the item automatically or select the check box if you do want to collect automatically. This is also possible for debtors who are normally not included in automatic collections. In that case, be sure to check that the settings on the Payment tab in the debtor settings are correct.

    If you collect outstanding items for a debtor who is not normally subjected to automatic collection, Profit then automatically compresses the relevant outstanding items into a single collection amount.

  4. Click on: OK.

Block an outstanding item for collection

You can also block an outstanding item for collection. This way you know for sure that the outstanding item is not included in a collection order. You can view blocked invoices by selecting Financial / Debtor / Blocked invoice.

To block an outstanding item for collection:

  1. Go to: Financial / Debtor / Overview / Outstanding items.

    You can also retrieve outstanding items via the Outstanding items tab in Financial / Debtor / Debtor.

  2. Open the properties of the outstanding item.
  3. Select the Blocked for collection check box.
  4. Click on: OK.
