E-mail or print a collection specification

You use a collection specification if the debtor wants a specification of the invoice(s) that you are collecting. You mail the collection specification (as an attachment to the message template for collection specifications) or you print it.

The Collection specification report filters by the Collection specification field and only displays the lines in which this field is set to Ja . You can set this field on the Payment tab in the creditor's properties. You must take the following into account:

  • If you select the Collection specification check box in the debtor's properties, and you then generate a new collection order, the lines are included in the report.
  • If you select the check box in the debtor's properties, only the new lines appear in the report and not those that have already been generated.
  • The report does not filter by the Compress field.

You can copy the report and change the filter in the copy.

Note:

If you want to e-mail collection specifications, you first have to configure this. Per debtor, you determine whether he receives a collection specification and how it is issued.

Profit adds the collection specification with the report you have linked in the properties of the bank account number on the Collection tab.

How printing and e-mailing a collection specification works

You determine the issue method for each debtor.

  • If you print the collection specification, it contains all invoices that are in the collection order. So you will have one collection specification for all the debtors.
  • If you send the collection specification by e-mail, each debtor receives a collection specification listing the invoices you are collecting. This e-mail message has a default sender and message text. The specification is linked to the e-mail message as a PDF attachment.
  • A combination of the above options.

The collection specification is only automatically sent by e-mail the first time that you send a collection order. If you then perform the Collection specification action once again, an e-mail message is not sent. In that case, the collection specification only contains the compressed invoice lines.
