Collection order checklist for SEPA
If certain invoices are not included when creating a collection order, use the checklist below:
Note:
In Belgium, this functionality is called Domiciliëring instead of Collection.
- In the properties of the debtor's bank account number, the BIC code must have been entered. You can check this by selecting Financial / Debtor / Debtor, Bank account tab / Bank account properties.
- In the debtor's properties the Automatically collect check box should be selected: check for this on the Payment tab by going to Financial / Debtor / Debtor.
- In the debtor properties the Bank account field must have an IBAN account. You can check this on the Payment tab via Financial / Debtor / Debtor.
- In the debit mandate a date must have been entered in the Debit mandate date field, otherwise invoices are not collected.
- An active debit mandate (Status = Active) of the correct type (Default or B2b) must be present. You can check this by selecting Financial / Debtor / Collection mandate and going to the view Invoice collection mandates or Debtor debit mandates.
- In the debtor's bank account number properties, no BIC code and/or IBAN number has been entered. You can check this via Financial / Debtor / Debtor, Bank account tab, Bank account properties, General tab.
- The bank account number of the debtor must be the same as the bank account number in the debit mandate.
- No debit mandate is present for the bank account of the debtor. Per bank account, a separate debit mandate is required. In the debtor properties on the Payment tab, check which bank account number is used. Next, on the Collection mandate tab check if a debit mandate has been created for this bank account number too and if the status of this mandate is active. If not, add a debit mandate for this bank account number.
- In the debtor's bank account number properties, the Country of bank field is not completed or not completed correctly. This must be a country within the SEPA area: check this using Financial / Debtor / Debtor, the Bank account tab, the Bank account properties, and the General tab.
- In the invoice properties, select the Automatically collect check box and deselect the Blocked for collection check box via Financial / Debtor / Debtor, Outstanding items tab, properties of the outstanding item, General tab.
- If you have also selected the Compress check box via Financial / Debtor / Debtor and the Payment tab, all outstanding items that are set to automatic collection are added together. If there is a credit note among the invoices and the total balance of the outstanding items is smaller than or equal to €0.00, the payment will not be collected.
- The invoice is not due yet and therefore cannot yet be collected. Go to Financial / Debtor / Debtor, Outstanding items tab. Double-click on the outstanding item and go to the General tab to find the due date. The due date is calculated on the basis of the payment term which is specified for the debtor/invoice.
- The invoice has been blocked. You can check this by going to Financial / Debtor / Debtor, Outstanding items tab, and double-clicking on the outstanding item, Entries tab. Click on the Edit journal entry action. If a message is displayed indicating that this line has been blocked, you can release this line via General / Configuration / Blocks / Data (user), Invoice (Financial).
- If it is the first time that a debtor is included in a SEPA collection order and the debit mandate has the FRST code, only 1 invoice from a range of invoices is included in the order. Once this first collection order has been performed successfully, the remaining invoices are included in the next collection order.
- For the collection order, you must select the correct method in SEPA collection method (Default or B2b).
- Check if there are any collection orders present with the Not processed status. They may include the debtor in question and the invoice.
If a collection order with the Not processed status is present and you complete the order, the message 'No lines are selected. The order is cancelled' appears.
